Constitution Updates • Events with Fundraising Components • Maximum of $10,000 funding • Removed 30% Rule • No Prizes and Giveaways given to non-UF students • Organizations may fund community giveaways from club account • No SGA members are allowed to have their name associated with non-SGA budgets.

  8. Notice: • Constitutions must be updated every two years • If an updated Constitution is not on file when an organization is asking for funds, they will not be approved

  9. Common Concern As long as your constitution is in the process of being revised, you can receive funding from SGA, it does not need to be approved!

  10. Constitution Criteria • Bolded words on the criteria sheet need to be word for word! You can cut, copy and paste it from the sheet that is online • Bolding it within the constitution as well will make it easier to be found while we are looking through it (*Not required) • Everything on the criteria sheet must be in the constitution or it will not be approved

  11. How to get it approved? • Come to the SGA office (located in the AMU) and grab a sheet from the hallway wall about what is required in the constitution! (or look at the form online!) • Make sure your constitution has all of the criteria needed, and submit on the SGA website. • Await SGA Approval

  12. If Constitution is Not Approved • Myself or someone on the Constitution Committee (who will identify themselves as such) will email the point of contact we have for the organization. • The Constitution must be modified accordingly. • Make changes and submit online again.

Timeline 1.Submit Budget Request Form 2.Await approval from SGA 3.If needed, attend Senate 4.Once approved, turn in requisitions on Workday 5.Pick up checks or goods 6.Throw event!! 7.Event Summary Form within 48 hours of event 8.Turn in Student Expense Report Form with all receipts on Workday

  16. Obtain a Budget Request Form Available in the SGA hallway

  17. Fill Out Budget Request Form • Attach: • ALL quotes • Contract and rider (unsigned) • Agreement to Participate • Designs (giveaways) • Email correspondence between any guest/creditors • Guest speakers, bookstore, t-shirts

  18. Bring Budget to Facilities Office (AMU) • By Wednesdayat 11AM • Submit budget at least 2 weeks prior to the Senate Meeting • Budgetary Committee will review your budget • If under $500 then Budgetary Committee can approve it • If over $500 the budget will move onto Senate

After Budget is approved by SGA... • Fill out requisitions as soon as possible! • Attach ALL quotes • Turn in on Workday • TAX EXEMPT • Found in Business Office • SGA will not reimburse for sales tax! • Receive check or PO# from business office • Sodexo=PO# • You are responsible for giving the PO # to Sodexo • Only for Events, NOT FOOD MEETINGS

  20. After Purchasing items for the event... • Fill out Student Expense Report Form on Workday • Attach ALL receipts MAKE SURE YOU TURN IN YOUR EVENT SUMMARY FORM!!!

Workday • Bookstore orders: Internal, NO WORKDAY NEEDED • Sodexo orders: (For events only, NOT food meetings) -Once budget is approved “create requisition:” -Requisition type: Blanket PO -Sodexo is always processed as a “service” and the spend category is “NON-TRAVEL MEALS” -After the event: “Create Receipt” with invoice sent to you by accounts payable

Workday • Outside Vendors (DJ, Photographer) -Create “Supplier Invoice Request” If a check is needed in advance -Need to have a quote/ contract and rider from vendor • If a student needs to be reimbursed create “ Expense Report” -Need to have receipt/proof of payment as attachment • Amazon Punchout -Can be used to purchase goods directly from amazon.com on Workday -”Create Requisition” -> Punchout -> Connect to supplier website

  23. Workday • For all transactions related to an SGA funded event please use: -Fund : 13 Student Activities Operating -Cost Center: 2835 -Additional Worktag: SGA Account (Will be 60** or 61**)

Food Meetings • 2 per semester • Cost= $5.00 or less per each active current member • Online form (SGA Findlay webpage) • Submit form 2 weeks prior to food meeting to ensure approval • Attach PDF Sodexo quote at bottom of form • Advisor approves food meeting then SGA • Once approved you will receive an email and Sodexo will be notified • Order is confirmed by SGA and payment is made • Sodexo does not require a requisition for food meetings

  41. ALL ITEMS ARE DISPOSABLE • All items for your event are picked up in the Catering Kitchen located in the AMU • Do NOT bring leftover food back to the catering kitchen • Leave your meeting/event space as you found it • Pick up your mess after you are done

  47. Finding The Perfect Place • AMU Windows • North / South Windows: The AMU windows can be reserved for the north side, south side, or both sides. Making a giant window mural using paper is a great way to catch attention (no window paint is permitted). • Banners • AMU Banners: The AMU offers 2 inside banner locations. • Deming Banner: Located on the front entrance as you enter Henderson, this spot is quite popular so book it quick! • Gazebo Banners: The AMU gazebo, Buford Center gazebo, and Cory St. Mall gazebo all offer a great outdoor location. Use a twin or queen size flat sheet and don’t use washable paint.
