Effective Dissemination Strategies for Project Success

  1. Dissemination • In order to assure the best information on the activities and • the best dissemination of the results of DoQuP project, the • project will be based on the following two main actions: • dissemination through Internet and distribution of material on the project objectives, activities and results; • 2) dissemination through the organisation of events on the project objectives, activities and results. • The first kind of dissemination strategy foresees: • - implementation of the project web site; • distribution of promotional and informative material (at least leaflet with the main information on the project characteristics).   2. The project web site will be opened for all interested parties. The webpage will continuously be updated during the course of the project. The leaflet on the project will be distributed among all the Higher Education Institutions of the PCs and in all the events organised in the context of the project but also in other occasion of meetings. The second kind of dissemination strategies foresees: • dissemination meetings; • final conference. • The dissemination meetings will be devoted to present the project objectives, the developed activities, the obtained results and the activities to be developed. • The last month but one of the project a Final Conference will be organised with the participation of the governmental structures of the PCs, the academic community and all the Consortium members. The Conference will be devoted to presenting all the results of the project, and in particular to disseminate the documentation system and to promote its sustainability. DoCuP Presentation

  4. The proceedings of the Final Conference will be published in a book, which will be distributed to all Universities of the PCs at least. Also a CD will be enclosed in the book. The project activities or results that are supposed to last and/or be disseminated after the end of the EU funding are: - the identified quality requirements for the quality assurance of the study programmes; - the associated identified information and data; - the procedures of collection and documentation of the identified information and data; - the university facilities implemented to collect and document the identified information and data; - the software for the on-line management of the identified information and data. The related costs of maintenance and improvement should be on the expense capacity of the institutions. DoCuP Presentation

Sustainability • The main factors to take into account to ensure the • sustainability of the project are: • the high motivation and interest of Ministries of Education and University Administrations in the quality improvement of educational processes; • the university commitment to maintain the documentation system in working conditions; • - interest to improve and update procedures, facilities and software for collection and documentation of the identified information and data and their on-line management. In order to ensure the sustainability of the project results, the following steps are foreseen: - implementation of an incentive system to enforce academic and administrative staff involvement in QA process by “incentives activities”, i.e. specific actions aimed at incentivising their performance; - definition of recommendations for Ministries of Education and Universities of the PCs, finalised to assure the maintenance of the project results. - general agreement among Ministries of Education and Universities about documentation for quality assurance of SPs, finalised to the acceptance of the implemented documentation system as the national reference documentation system for the QA of SPs. The accomplishment of this objective will assure also the dissemination of the project results among all the other Higher Education Institutions of the PCs. DoCuP Presentation

  8. Project Management To level of project management have been foreseen : a general project management and a project management at country level. The general project management will be carried out by the Project Board, constituted by representatives of all the project partners, and by a “Management Board”, constituted by representatives of key partners from the EU patners and the PCs. The main responsibility of the Project Board will be the general planning of the project activities, while the Management Board will have the responsibility to assure the coherent development of the project activities planned by the Project Board. The project management at country level will be in the responsibility of the representatives of the PCs in the Project Board,under the supervision and the coordination of a “scientific coordinator”, appointed among the country level managers. The main responsibility of the country level management will be to put in place an operational network between the different Higher Education Institutions of the PCs so as to foster the exchange of expertise, dissemination of knowledge and to harmonise the different initiatives across the PCs. Of course, there will be specific coordinating actions between the Management Board and the scientific coordinators for an efficient and effective implementation of the project activities in order to achieve the expected project outcomes. Decision making process should be done jointly, but in case of conflict the Grantholder will have the right of final decision. DoCuP Presentation

  10. Financial management will be in the responsibility of the Grantholder. Financial management and reporting will be carried out between each partner and the Grantholder independently. Current administration of the project during its life will be carried out by managers in each partner institution. Permanent and effective communication and reporting among members of the Project Board and of the Management Board will be assured by a reserved area for the communication among the members of the project. Project quality control • In order to assure quality of the project outcomes and outputs, • DoQuP project foresees: • a process of internal quality monitoring and control; • - a process of external quality control. • Internal quality monitoring and control of the project activities • will be another main task of the Management Board, which, in • this case, will function as Internal Quality Control and • Monitoring Team (IQCMT).   12. The main responsibilities of the IQCMT will be: - to assess the coherence of the planned activities with the designed activities; - to monitor the correspondence of the activities carried out with the planned activities and the on-time assessment of the planned project results; - to assess the quality of the project results. As project activities assume participation of all Consortium members and project outcomes are mostly verifyable, the project can be easily monitored. DoCuP Presentation

  13. External Quality Control Team (EQCT) will be composed by representatives not directly involved in the project. The main responsibilities of the EQCT will be the same of the IQCMT, but the assessment of the quality of the project results should be stressed. To this end, the quality assessment will be focused on the PDCA method. DoCuP Presentation
