  1. NCAIA Claims Reporting Web System Non-Supervisor User Manual - 2012

  2. Auto Claims Driver Report – Should be placed in the glove box of every state vehicle and filled out at the time of the accident to have the information to put in the auto claims system.

  3. Envelope size

  4. Use your web browser and bookmark the url for easier access. www.ncaia.com/claim/ClaimLogin.aspx Effective July 1, 2012 Check out the Travelers web site that helps you reduce your chance of claims: http://www.travelers.com/riskcontrol

  5. Your login is stored in a database and directs you either to supervisor or non-supervisor pages.

  6. A disclaimer screen will always appear. Users must agree to the terms and enter their name.

  7. Select Department Select Location Code You cannot proceed without picking both items

  8. Select Department - many of you will have only one department code – which is your agency name. Select your agency location code – this is unique to your agency and is very important for proper processing of the loss.

  9. Once you have selected the Internal Department and the Agency Location Code, click “Continue”.

  10. When you enter the questions page, this is what you first see. Check the box for if you were driving a “State owned vehicle”, a “leased vehicle”, or using a “personal vehicle”. Then click “Continue”.

  11. A successful “Continue” brings you to this page. Notice the tabs at the top, you cannot proceed to the “NC Veh” tab until you fill out the required*** fields below.

  12. At this time you begin entering loss data in accident information section. You can enter the information and then click on the “TAB” key to go to the next field. Enter will not work. You can use the “Scroll Bar” at the right of your screen to move up and down for viewing purposes. When finished, click “Submit”.

  13. A successful “submit” brings you to this page. Now you can click on the “NC Veh” tab.

  14. You can select the VIN of the NC Vehicle If this vehicle is covered under physical damage and recorded, we can retrieve information by selecting the vin number. You can use a list of vehicles or last four characters of the vin found in the AutoWeb Physical Damage web site. If the vehicle is not there, you can type in the information further down on the NC Vehicle screen. Please note that you cannot type in any information in the fields below “Select Vin” since selecting the VIN automatically fills in this information.

  15. NC Vehicle Section If you selected the VIN above, it will enter for you here. Otherwise, type it in. Be careful when you “TAB” to it. If you begin to enter a character, this value will disappear as if you wanted to change it.

  16. Notice the note above. At this point there is enough information to send the claim to Travelers, however, if another vehicle was involved in the accident click the “Other Veh” tab and update the information. If necessary, continue for each tab: “Property” for property damage, “Injury 1 -3” for injuries, and “Witnesses” for any witnesses.

  17. Note – when you are finished inputting all the claim information you have, you may print this claim at any time during the update sections for the tabs “Other Veh- Witnesses”.

  18. Other Vehicle Section When finished, click “Update”

  19. Property Damage Section When finished, click “Update”

  20. Claimant Section. When finished, click “Update”.

  21. Witness section- If you have witnesses, please enter them. If not, this will not stop you from completing a claim. Click “Update”

  22. When you click on the “Print This Claim” button, you will automatically be sent to your printer options. The report will be labeled “Automobile Accident/Loss Notice” -Note this is for your records only.

  23. The claim is now entered and complete! • Once a claim has been entered: • The claim data will go to Travelers where a claim number will be assigned and that number will come back to our database. It now will appear in your claim list. • NCAIA will be notified of the claim by email and their data will reflect the claim. • Motor Fleet Management will be notified of the claim by email and a FM-16 will be attached.

  24. This is an overview of processing a claim.
