Our Responsibility!!! Many Beauty Alliance products are hazardous and therefore regulated by the Department of Transportation (DOT). Strict rules must be followed when shipping these products to customers. Serious violations result in large fines. DOT training every three years
Penalties!!!You can be held accountable!!!Training must be conducted within 30 days of employment! Until the employee is trained and certified, he/she must work under the supervision of an employee that has full DOT Hazardous DOT Training.
BAI AIR Shipping Policy • Product is NOT to be shipped via AIR freight for any reason. • If a non product related package is going to be shipped air it must be logged, inspected by the warehouse manager or general manager and signed off on. Ex- envelopes, computer hardware….
Commonly Found DOT Hazard Classes @ BAI • Flammable Liquid = Liquids which could easily catch fire in the event of contact with spark, flame or other fire source. • These products should be kept away from oxidizers. • Based on a test that determines the chemical “flash point” to be <140F. • Flammable Solid = Solid which will easily ignite and burn in the presence of a spark, flame or other fire source. • These products should be kept away from oxidizers. • Based on a test called a “burn rate”. Packages containing these hazardous classes must be processed properly to meet DOT requirements.
Commonly Found DOT Hazard Classes @ BAI • Oxidizer = A reactive material that can create its own oxygen and keep burning, unless managed in a way that controls the fire (foam, etc.). • Fire, flames, heat and moisture should not be allowed to come into contact with these products. • Based on a test that determines how a chemical will react to heat and moisture. • Should be stored away from flammable materials. • Corrosive = Material that could chemically burn the eye, skin or respiratory system if contact with the body occurs (could take a long time or a short time to experience pain). • Can damage other containers if leaking occurs. • Can damage its own container if placed in the wrong packaging. • Usually based on a test that measures the pH or likelihood of a chemical to cause burns.
ORM-D vs. Fully Regulated • ORM-D = ORM-D products ARE HAZARDOUS!!! They could be flammable liquids, oxidizers and sometimes corrosives or flammable solids… Products with this label are able to be shipped using more relaxed rules than “fully regulated” products • ORM-D classification makes it easier to ship hazardous materials via ground transport – one label + up arrows only, no special shipping papers for ground transport, no special boxes • Not all products are able to be exempt from the regs. • Have to be a certain hazard type and “limited quantity” or small sized internal containers • Fully Regulated = Hazardous products whose internal containers or hazard type can not use an ORM-D classification – require special box design, additional labeling and shipping papers Packages containing these hazardous classes must be processed properly to meet DOT requirements.
Placards!! • You must keep a supply of Hazardous Placards on hand. Carriers may ask for these to display on their trucks while transporting our goods after reviewing our bills for hazardous types..
Label Definitions • “Up Arrows”- Must be presented on all hazardous packages that contain liquid material, up arrows must be on opposing sides of the package and must be two color • “ORM-D Labels”- Must be presented on all packages classified as ORM-D and must be clearly visible on at least one side of the carton • “Fully Regulated Hazardous Materials Labels – must be visibly presented on at least one side of all cartons containing hazardous materials that can not use the ORM-D exemption. Labels that may be used are shown below”.
Job Specific Training • DOT Requires employers to train employees in the job specific tasks that they will be assigned to while processing packages, the next 4 slides will demonstrate the required tasks for- • Small Package Shipping • QA • LTL • Unclassified Message
Small Package Shipping DOT Procedure • Check the Package for DOT labels • If the Package does not contain hazardous items, process package as normal. • If DOT labels are present or the package contains hazardous items, verify the package is marked correctly. Process the package in World Ship ensuring that the proper hazard class is checked in the system. This will ensure that the hazard class is on the UPS manifest. • Fully regulated items are to be shipped in original manufacturer marked full cases ONLY!
Additional UPS Requirementsto be done at manifesting • All fully regulated packages must be labeled with specific UPS Hazardous materials shipping papers (which will print out when the package is manifested through Star Ship and World Ship).. LTL Order Shipping • All DOT labeling outside of fully regulated cartons will be done in picking by the order picker for both full cases and totes. • If the package contains ORM-D, the Picker will be prompted by the wearable to apply the appropriate DOT-Labels • The picker can not move to the next package until the proper ORM-D label and up arrows are applied and the carton or tote is scanned “complete”…..
QAFully Regulated cartons will be directed by the system to Quality Control to be inspected ensuring that the carton meets all DOT labeling and packaging rules. All Labeling of fully regulated packages will be applied in QA by trained authorized personnel.QA personnel will scan the package, the system will generate a label with the proper fully regulated carton information (UN#, Shipping Name, 4g) and apply it along with the provided proper placard label. Random ORM-D packages will be directed by the system to QA to be inspected ensuring that the package meets all DOT labeling and packaging rules.
“Unclassified Items”Definition- Any SKU in the BAI database that has not been reviewed by Regulatory Affairs for proper DOT classification is defined as “Unclassified” • If you receive the following message on your computer, scan gun or wearable when scanning a package, you must follow the established procedure. • The Package must be given to the assigned site designee and Regulatory Affairs must be notified to classify the item or items.
Shipping • All Hazmat information will be accumulated by the system and printed electronically on our outbound Bill of Lading and UPS manifest. • Only employees that have completed the full DOT shipping training are allowed to sign manifests/bill of ladings and will be appointed by the site manager.

Security Procedures/Emergency Response • Drivers must check in and out before being loaded or unloaded. • Drivers must remain with the load or in specified driver holding area. • Manifests and BOL’s must be reviewed prior to loading or unloading trucks. • Contract carriers must have pre-determined delivery times. • 1-800- Emergency Response numbers should be on all outbound freight bills. • Emergency Response Plan should be initiated upon any spill or chemical release during a delivery to your facility.
