  2. January 2013 Today’s webinar • The purpose of this webinar is to go over the content and operational details to ensure the best possible submission for student Math collections. • Time will be allocated for individual questions.

  3. January 2013 Only One chance at a Math COE • You want this COE to reflect their BEST effort • Often students are emerging so now is the time for you to take a careful look at their work to ensure that it really reflects where your student is NOW in their understanding of the math standards

  4. January 2013 What to do if - • What if I notice a problem or mistake in a student task? • What if I notice that part or all of a task is incomplete? • What about missing or out of order pages? • Student work is on separate paper? Check and double check now, do not wait for the deadline!

  5. January 2013 Student Collections must be in order • Do not be afraid to organize student tasks as needed and/ or allow students to take a look at their task and organize it in class. Do not send tasks/collections out of the classroom. Students must organize COEs in class under your supervision. • Orderly collections help for: Scoring • Orderly collections also help you to make sure that everything is there!

  6. January 2013 Revisit Any Student Tasks As Needed As you review make a spreadsheet or matrix for each student collection – • Pass back unfinished work. Coach students to look over their tasks and make sure they are done. If you can tell that a student did not understand a task and/or did very poorly • Look for another task to replace it. If a student only has 6 completed tasks then • Consider having the student prepare a new task and determine what if any instruction to the PE’s needs to be done in class.

January 2013 Teach and Reteach the Standards • Review your students’ progress to guide your instruction • Do not teach to the task, teach to the standard with LOTS of examples • Don’t be afraid to give your own daily “formative assessments” in class, quick and to the point • Reteach, and reassess until your students arrive!

January 2013 COE Math Task Each Part Independent Student tasks are scored as independent parts If a task has 4 parts then it will receive 4 scores based on either a 4,3,2,1,0, rubric or a 4,2,0, rubric depending on the complexity of the problem. Knowing this you want to make sure that the PE in each part has been taught and retaught with LOTS of examples for students. All sufficiency pieces should be finished, even though these parts are marked only sufficient or not sufficient as they are required for a collection to meet standard.

January 2013 Firm Dates for Math • The Math submission dates are firm • There will be no ‘soft landing’ for late arrivals • 5 pm cut-off for on-time collections and to qualify for the $200 stipend • Reasons: • New system to manage • High number of submissions • Plenty of time to complete the collections

January 2013 Collection of Evidence 2013 Student Submission Checklist for Math Year 1/Year 2 • Student ________________________________________________ • Work Sample Documentation Form • I have chosen the 6 – 8 work samples to include. • At least two on-demand samples are included • The work sample documentation form lists all of the samples I chose. • I have signed the work sample documentation form. • Each of my work samples has a barcode printed on it. (If not, I let my teacher know) • I have checked that no extra work samples or extra pages are included. • Review: • Each work sample has all pages as indicated in the page numbering in the footer. • I have answered all questions. • My teacher has reviewed all of the selected work samples. • Each work sample is stapled with a single staple in the upper left-hand corner. • The entire collection is placed in a large envelope • Keys to a successful submission: • COE inclusion tasks and work samples must be kept in a secure location • Keep the collection pages clean and free from damage (holes, tears, folds, stains) • Place one single staple in the upper left-hand corner of each work sample • Place the work sample documentation form on the top with all work samples in sequential order • Check for student signature on the work sample documentation form • Maintain copies of student work as a backup • Package each student’s collection in a separate envelope (at least 9x12 or larger) • Put all envelopes from a school (or district) in a box for shipping • Generate a list of all collections being submitted with student name and content area • Utilize a tracking system for shipping (such as UPS or FedEx)

  21. Sufficiency Requirements • At least two representations of each strand • Two on-demand • 6 – 8 total tasks • Tasks must be “included” to count in sufficiency requirements

  32. Prerequisite • Principal (or designee) must have permissions on EDS • Work with District Data Security Manager to add ‘eCOE’ application with permission “eCOESchoolPrincipal” for principal • Principal signs in through EDS • Choose “eCOE” from “My Applications” list

  36. All Tasks Must Be Included • Use WSDF as a guide to compile collection • Include ALL samples listed on WSDF • Check to be sure that all pages of each task are included • Each task should be stapled with pages in order • Put WSDF on top and stack tasks in order • Put all in large envelope

Special Handling • Two situations require special handling: • Students worked on tasks that were printed without barcodes • Students worked on a task that was originally printed for another student • Clearly label outside of envelope “Special Handling Required” • Include an explanation of special handling needed

January 2013 Student names and SSID on math tasks 1 • Math tasks are printed with the student name in header and SSID in barcode • It is extremely important that the name and the SSID number belong to the same student. • SSID barcode will be machine read and will be used to identify the students in the scoring system. • Please DO NOT give the task to a student other than the one it was printed for. • Credit for the work will be given to the student whose SSID is on the task

January 2013 Student names and SSID on math tasks 2 • If you have student work that has a different name written in by hand, it will require special handling at the scoring center. • Clearly mark the envelope "Special Handling Required“ • Include a note that explains which student actually did the work and which work samples have the wrong SSID number printed on them. • COE Scoring staff will make the corrections to be sure that the correct student is credited with the work.
