  3. Objectives • Introduce you to the concepts of the FTU process. • Step through the FTU approval process to demonstrate the FTU Dashboard’s easy-to-use interface.

  4. FTU At a Glance… • FTU was designed to support MSU’s e-workflow initiative by providing a utility that automates the forms approval process for forms available on the web. • FTU allows an initiator to complete a web-basedform and electronically routes it for review and/or approval to a predefined set of approvers and/or reviewers (also known as actors).

  5. Benefits of FTU • Provides one easy-to-use place for approvers/reviewers to act on University-wide forms • Each form does not need to have it’s own “routing engine” written • Routes can be customized for particular units or accounts, without changing form application programs • Enhances quality • Minimize errors, delays, rework, duplicative effort • Ability to monitor, find & address bottlenecks • Reduces operating costs

Who’s involved in the FTU process? • Initiators - submit web forms that create FTU routing slips. • Approvers - have the authority to approve, disapprove, and/or comment on forms. • Reviewers –have the authority to review and/or comment on forms but are not able to approve or disapprove forms. • Actors - are initiators, approvers, reviewers and email recipients.

  10. What do we mean when we say…? (FTU Terms) • Form - The web form being routed. • Routing Slip - An electronic routing slip associated with a specific form. • Route - All of the steps needed to complete approval or review of a form. • Action - A step along the route of a form • Dashboard – The web app used to view and act on routing slips and their actions.

Approvals, Reviews and Email actions… • Approval and Review actions stop and wait for an actor to complete them (or timeout) before moving to the next step on the route. • A Review action is not a “cc” – someone has to act on it! • Email actions are automatic, do not wait for an actor before moving to the next step on the route, and can functionally mimic a “cc”.

  12. Speaking of email… • Emails come to you from FTU for a variety of reasons: • An approval or review action can trigger an email notification to the actors if the form is designed to do so. This email contains a link to the FTU Dashboard. • An email action may send form-specific email to specific actors. • Users may control the frequency of their FTU email by setting their FTU dashboard preferences.

  13. A Word about Comments - • Comments are permanent. • Comments cannot be edited. • Anyone with access to the forms FTU route can view comments. • Be cautious—don’t enter sensitive or confidential data. • Comments are required when disapproving a form.

How can I get to the FTU Dashboard? • Here are three ways to access the Dashboard: • Browse to url: https://ftu.ais.msu.edu • If you receive an email notifying you of the need for you to approve/review a form, click on the FTU Dashboard link in the email. • Some applications using FTU for approvals may provide a link from their website; for example; the eJVE has a link to the FTU Dashboard from the eJVE application.
