SACO-At-LargeMidwinter ALA - Denver 2009 SACO Workflow & Tracking of SACO Proposals Prepared by John N. Mitchell January 2009
SACO Workflow Proposals are contributed via the form located on the SACO Home Page at: http://www.loc.gov/catdir/pcc/prop/proposal.html Contributors receive an email that is automatically system-generated to notify them that the proposed heading has been sent to the Library of Congress and is ready for processing.
SACO Workflow Proposals are processed [downloaded from the Web form] and added to the LC ILS database. (Voyager) At this point contributors are able to see the proposed heading via authorities on the Web at: http://authorities.loc.gov/ Proposals are distributed for review by the Cooperative Programs Section staff.
SACO Workflow Review of proposed headings is done by the Cooperative Programs Section staff to insure: • Adherence to Subject Headings Manual (SHM) principles • Fixed fields are properly coded • Bibliographic file maintenance [BFM] is identified.
SACO Workflow 4. Addition of the “019” field allows the record to migrate to the “Master Database” and the authority record is forwarded to LC’s Policy and Standards Division [PSD] for inclusion on a tentative weekly list. 5. Note: An inherent delay of 1 day during record migration to the master file is required. The record remains searchable.
Example of a processed record before review and the addition of the “019” field No “019” field is present
Example of a processed record after review and the addition of the “019” field Record has been reviewed and migrated to the “Master” file.
Tips for Proposal Contributions Contributors must select a decision from the pull down tab for determining if the proposal should allow for direct or indirect geographic subdivision. This addresses variable byte 6 of the 008 leader field of the authority record. (Confer with SHM H 364, sec. 3 or with the SACO Participant’s Manual, page 93 of the 2nd PDF edition)
Tips for Proposal Contributions Do NOT include initial subfields anywhere. This includes “a”, “w”, or “z” subfields. Subfield information is supplied based on selection of the Broader Term (BT) or Related Term (RT) field. Byte 2 of the “w” control subfield automatically supplies the value of “g” when the Broader Term (BT) is input.
Tips for Proposal Contributions When SACO change proposals are contributed via the Web, they arrive as email in the Cooperative Programs Section. Review is accomplished using the same SACO workflow. Please include a note in the submitted record if the proposal is to be processed simultaneously with a related LCSH or LCC proposal.
