Client Organization • Name : Myanma Gems Enterprise (MGE) • Main Function : Visitor Registration of Myanma Jade, Gems and Pearl Emporium • Location : No. 66, Kaba Aye Pagoda Road, Myangone Township, Yangon, Myanmar.
System to be developed • based on the processes of Visitors Registration of the emporium • will be automated the visitor registration and attendance processes into a web based system • can be accessed by the visitors, the receptionists and the management as well as the cashers for payment of registration fees.
Description of the current system • Only invited guests can be registered as visitors of emporium • There are two main types of Visitors, Local Visitor and Foreign Visitor. • Foreign visitors come from many countries such as Republic of China, Hong Kong, Thailand, etc.. to attend the emporium. • Registered visitors are available and eligible to enter to the compound of the emporium.
Currently functioning The registration processes include • verifying and checking for black list and invitation information • collect the registration fees • recording the visitor’s information • issuing the registration card
Problem with the current system • The emporium information cannot be informed on time to the guests who interest to attend the emporium. • the new visitors, who haven’t received the invitation card, may not available to attend the emporiums. • MGE staffs prepared the invitation list manually and it takes times • hundreds of local and foreign visitors are queued and crowded long time at the registration counters for their registration processes inconveniently. • MGE staffs operate the registration processes with many difficulties and slowly. • Difficult to summarize and prepare the Daily Arrival Reports categorizing by Country and Company, and the Attendance of Visitors.
Advantages of the proposed system • Visitors who want to attend the emporium can register through internet easily without waiting for the registration processes at the registration counter • Can rapidly issue registration card for the online registered person • Can access to the registration services 24-hour • Can organize a central database that can be accessed by the management and the staff of MGE • Can share data among the management and staff through authorization. • Can provide updated information to the Visitors and the authorized users • Can generate the required reports in time
Initial statement of proposed system • To develop the online registration of visitor to attend the emporium • To manage the visitor information with central database • The major functions of the proposed system are: • Update the Emporium and Black list Information • Accept Request from new foreign and local visitors • Invite Old and New Local and Foreign Visitors • Record the Registration Fees Payment Information • Record Visitor Information • Issue Registration Card • Report Generation

Aims of the Project • To inform the emporium information in advance and in time • To provide with the fresh and update information concerned with emporium • To get the chance for interested guests to attend the emporium • To enter payment information of visitor registration fees through the Myanmar Foreign Trade Bank • To provide the direct registration services instead of local agent • To substitute the traditional postal correspondence • To reduce time period of invitation and registration process from two months to one week ahead of emporium • To provide 24/7 services to the customers • To provide services and facilities effectively and efficiently • To deliver the services conveniently • To develop the central database for Management Information
