Shelter Bednight Quarterly Report • Accurate shelter bednight data • Due 15th of the month following the end of the quarter • If data discrepancies exist MUST be rectified by the 30th of the month following the release of shelter funds. • Reported to shelter provider via “Shelter Reimbursement Report”
Certification of Completeness Certification that data completeness meets established standard: 100% of data for 90% of clients… What does that mean? 100 clients served…90 client records contain 100% of required data.
Certification of Completeness • Submitted with Shelter Bednight Quarterly Funding report July 15 October 15 January 15, 2012 EXCEPT first quarter report which was April 15
Certification of Completeness 1st quarter (which is now) Due May 30 HMIS team are creating the certification now. Agencies will be notified when the certification is available for submission to MaineHousing.
Required to meet first quarter data completeness standard • Run and Review UDE Data Completeness Report: Edit data as required • We will contact your agency stands data clean up required AND • Submit Certification of Completeness to MaineHousing by: MAY 30
To meet remaining quarterly reporting requirements • July 15, October 15, 2011 and January 15, 2012 submit: • Shelter Bednight Quarterly Report • Certification of Data Completeness • Clean up any data discrepancies and submit to MaineHousing by the 30th of the month following Shelter Reimbursement Report release.
Failure to meet reporting standards • Agency will receive non-compliance letter. • Too many occurrences could result in default, which would affect shelter funding.
Shelter Data Reporting Requirements Part II Coming soon will consist of: • 100% Data Quality requirement HMIS team are creating the reports now. Agencies will be notified when they are available. Proactive approach: - Run data completeness and quality reports when available - Edit data as needed
