OLD IMPREST SYSTEM • Preparation and submission of demand is a time taking process. It takes involvement of 2-3 staff as well as financial loss to Railways on account of TA/DA. There was also traceability problem in the old system because many times, demand is told to be submitted by user but it actually does not reach in the depot. • Consignee has to send special messenger to submit imprest demand at JUDW Depot. This demand was manually prepared and there were several errors while preparing the demand which often used to result in non issuance of material despite its availability in the depot. In order to streamline this, Northern Railway through JUDW depot in association with CRIS got a software developed in iMMS Module for online submission of demand and its issue and online acknowledgement.
SUCCESSFUL IMPLEMENTATION OF ONLINE IMPREST SCHEDULE Online Imprest Schedule System developed by CRIS in close co-operation with Stores Depot, JUDW has been successfully completed. BENEFITS • At present, about 1000 items are being distributed to 75 consignees at DLI Division under Imprest Delivery System being operated by JUDW & SSB Store Depot. In the present system, consignee is required to place the demand of the imprest items manually by sending a messenger to the depot which is not only time consuming but also uses huge manpower. After approval, the demand gets automatically forwarded to concerned depot, the depot DMS/ Incharge of the ward on seeing the pending demand, issues it digitally using his digital signature. Digital signatures of all concerned also gets printed on issue note. There was a need that the Imprest Module should be so modified that the demands of the Imprest items could be placed by consignee digitally The depot is then issuing the material physically and dispatching to the user. The user is verifying on receipt the quantity received online. The system is extremely beneficial as it has further the idea of Hon’ble Prime Minister’s Digital India and moreover, it is a step further towards the online paperless system.
