Request Management System - Simplify and Streamline Your Requests

Take a brief look at the available screens in the Requests part of the system. It allows users to easily create new requests, view previous requests, and generate work orders. No password is needed to access the request screen. The system also supports various types of requests, such as project, general service, boardroom booking, meeting, and location alteration requests. The request memo is the only entry required for general requests.

  1. A Brief Look at some of the screens available in …

  2. Requests part 1 … request screen also web-enabled … Creates a request by simply selecting your name and clicking on the ‘Requests’ button. No password is needed Request list view to see all previous requests made filtered to the current requestor. User now clicks on ‘Add New Request’

  3. Requests part 2 = Auto entry Also does Project Request, General Service Request, Boardroom Booking Request, Meeting Request and Location Alteration. Once the location, contact manager and planner have been selected and the ‘Requestor Location Alteration’ button is clicked then all future requests will only require the population of the ‘Request Memo’. User enters request memo – only entry needed for general requests.

  5. Work request planning - part 2 When the request screen is opened from the ‘Help Desk’ screen it allows the planner to generate a work order and open the work order from the ‘Requests’ screen. Whatever data can be auto transferred to minimise user input has been programmed in. Click on any level below to quickly filter to Request Status

  6. Work order generation part 1 The majority of the information seen in a work order is auto populated. The user only needs to enter approx. ½ dozen entries to obtain more than 40 auto populated fields.

Work order generation part 2 Auto populated after selecting ‘Service Code’ ‘Service Code’ also auto populates tasks, activities, material, special instructions and/or linked documents if they have been entered into the service screen Maintain to 21 levels – Unlimited link to Assets and Instrumentation per work order Auto populated when selecting the level at which maintenance is to be performed Auto populated when allocating work order to main resource. An unlimited amount of resources can be added to each work order or project in the task register.

  11. Work order generation method 2 – part 1 Or There are six (6) different places (from 15 screens) in this application where a user can generate Work Orders. This method is the most popular method where work orders are generated without entering a request first. Most work orders can be generated in under a minute, this method can generate a work order in under 30 seconds.

  13. Reports part 1 All main screens and many sub-forms have the capability to run reports. Reports are filtered to the screen that they are running from, then further filtered by a category , in some cases filtered by queries and if need be the user can filter down much further using the ‘Filter Selection’ function.

  14. Reports part 2 – User filtering All reports run from the Report Form can be filtered using the Filter Selection to only show specific information. The application also hosts many pivot tables and charts that are editable on preview by end users with editable user rights. Filter formula’s can be saved for future usage.

  20. OPERATION SMART is a very powerful application with more than 500 tables and screens including more than 300 reports. However, the way the system has been developed it represents a much smaller application. The application is not modular based but the menu has been configured to separate the various business disciplines.
