Planning • Select Derby Committee Chair • Pre-Event staff duties • Write the rules – Design + Speed • Order trophies/medals patches/pins (2 mo.) • Set time and place then book it • Order and sell the kits at Pack meeting • Race day Lunch/Food - hotdogs, pizza, TrailsEnd Popcorn, cake auction • Collaterals • Workshop or Clinic • Computer setup and pre-load registrants

Pre-Event – Rules and Awards • Categories determine how race is run and awarded(see copy of Flyer + Rules + Winner Posting) • Judges Choice, Realistic, Artistic, Creative, Extravagant, Patriotic, Ranks, Unlimited, Sibling. First 5 follow Blackhawk 500. • See copy of Trophy RFQ sheet ($500 - $1K)Design – only one winner eachEveryone goes home with a medal

Pre-Event - Collaterals • Download templates from ftp://www.mdsc-powwow.org/2006/pinewood • Trophy RFQ sheet • Registration list - name, den, rank, ID # for use in Mail-Merge • Place card next to car for Design judging and Racing ID (reuse for Cake Bake) • Registration sheet for Adult (Unlimited) and Sibling • Driver License to remember Car # and to claim car at end of race • Pinewood Derby Flyer • Design winner card – makes easy for judging (no double) • Rank Signs (reuse for Cake Bake) • Stick onto trophy – easy for emcee to announce winners

Pre-Event – Race Software • Sample of available SoftwareGrandPrix, DerbyMaster, RaceView • Race methods • Do – use method that race cars as many times as practical • Do – use a timed or electronic track • Do – use lane-rotation or timed single-lane • Don’t – use single-elimination chart • Pre-load before race from scout list • Test the Timer and Track

Event Day – Staff • Emcee • Track Master – pulls the trigger • Registration/Technical Judges – weights (most problem), dimensions, wheels (2nd problem area), design (check for non BSA kits) • Photo documenter – pictures of car designs and the event • Scorekeeper (2) – computer guy and hand written • Finish Line Judge / Runners • Lube Boss • Design Judges • Childcare • Food handlers • TiVo Operator
