Staging Layout Objectives • Increase in intimacy between guests and students in sharing the graduation experience • Participating students to have an exciting and rewarding graduation experience - a celebration that is a positive and memorable acknowledgement of their academic achievements • Awarding/presentation timing to be appropriate in acknowledgement of student’s achievement Interim Update – August 2001

Staging Layout Process • Identification of set policies and criteria for the event and the stadium • Event Management Company examined numerous variations of possible layouts with set criteria and event objectives in consideration • Consultative process involving the following groups of people; 1) Those directly involved in Graduation 2000: Graduates, Audience members, Head marshals, academic procession participant, 2) Others: Potential Graduates for 2001, SUC, RMIT Union, RAIS, Implementation Committee. Staging Layout Process cont….. • Feedback from consultative group; • Very positive reaction to the proposed repositioning of the faculty presentation stages • Questioning of the proposal for students to be seated side-on (turning their heads) • Current Status • Further review of staging proposal in response to the feedback received • Revisions will be presented to the Implementation Committee mid-August 2001 Interim Update – August 2001

Event Overview Major Proposed Innovations • Shifting of faculty stages as close to the boundary of the arena as possible • Treatment of student names • Ticketing of student guests; • Primary and Additional (blocked according to the student seating) • Students to be processed onto the arena • Students to be processed off the arena Interim Update – August 2001

Innovations cont…. • Assembly of students; • Students to be pre-allocated their seating numbers at Gown and Ticket Collection Days 8,9,10 December • Students to be assembled on the internal roadway of Colonial Stadium • Photography review • Student self-check facility on website • Assessment and appropriate implementation of on-line submission of Confirmation of Attendance Form and Graduation Payments Interim Update – August 2001

Communication Strategy to Students Communication to date includes: • An information pack mailed to home addresses of all identified final year students • Web site (www.graduation.rmit.edu.au) • Roadshow to final year lectures • Email to all students • Posters placed around all campuses Interim Update – August 2001

  12. Next Steps for Students • Confirmation of Attendance – Graduation 2001 Form to be sent early October. Must be completed and submitted by 31 October to the Awards Unit, Brunswick • Clear all outstanding debts • Gown and Ticket Collection Days 8,9 &10 Dec • Possible additional photography days (TBC) • Pass all subjects and approval by faculty • Arrive at stadium on time – Gates open time (TBC) Interim Update – August 2001

  13. Marshals • Volunteer marshals will be requested for Graduation 2001. The arrangements for marshals are being revised to ensure that the experience is a rewarding one for all volunteers. • Factors to be looked at include: • catering and drinks for marshals; • the role of marshals; • the number & placement of marshals; • training for marshals; • suitable attire for marshals • other facilities available for marshals.
