  1. Training On New Record Downloading Capabilities Within SHIP-NPR August 20, 2014 Contract:GS-35F-0117T HHSM-500-2014-00364G

HIGHLIGHTS Effective August 20, 2014, new features exist at the SHIP-NPR web portal that enable SHIP directors to directly download considerably greater amounts of record-level data for CCs and PAM events. These new features should improve:-- the completeness and accuracy of SHIP-NPR reported data-- speedwith which directors can independently conduct their own CC and PAM data analytics-- management of data quality and specific areas of program performance.

  3. So What Are The New Features?(NOTE: The previous system permitted downloads of CC records ONLY, and only the most recent 10 records for counselors in each state.) Ability to download record-level CC AND PAM event data Access to virtually the full contents of both sets of records, by one or more components of each record Ability to retrieve record-level data as far back as three years for individual states (e.g. currently back to 2012), as long as each download is limited to one month at a time Ability to convert CC and PAM records to EXCEL format, for easier analyses.

Important Notes to the New Record Downloading Features Restricted to SHIP “directors” at this time Permits selective downloading of specific components of each record Easier analysis of the contents of any data field These are NOT standard reports. Monthly datasets are customizable for each directors’ needs AND they do contain Personally Identifiable Information.

  6. STEPS FOR DOWNLOADING CC RECORDS……… Begin by clicking on the“CC” button (or “PAM”), then ……Click the “Download Client Contact to Excel” REMEMBER, these are NOT reports that are being downloaded, these are datasets… DO NOT GO TO “NPRREPORTS” as your first step !!

  7. You are at the correct location if the screen to the right appears, with the words: “Download Client Contacts” Note these check boxes !!

  8. Each monthly dataset of CC and/or PAM will contain one or more groups of data elements within each record. These are selected by the SHIP Director. All downloads include a CORE dataset+++ one or more of the following “components” of a CC or PAM record. CC records include a CORE dataset + PAM records include a CORE dataset +

  9. “Downloading Client Contact” records…………….. Select the “begin” and “end” dates for the one month you want – You cannot select > one month Click / check on your state --- You can only view your state data Click / check on one or more of these boxes to indicate the parts of the record you want to access TRY TO BE SELECTIVE !! X X When finished, click “DOWNLOAD TO EXCEL” to download your records..

  10. Once records are downloaded, the new feature permits much easier analyses of the contents of EACH data field. The sample abstract below displays “LIS” DATA BY ZIP CODE FOR ONE STATE.

  11. SUMMARY This feature is currently active at the SHIP-NPR web portal, but is ONLY accessible to SHIP directors. A copy of these slides will be posted to the SHIP-NPR Website for your convenience, after the conference. A future Webinar is being prepared to review this presentation in a more in-depth manner.
