Administrative Reporting eSchoolData Part 1 – Getting Started
Logging in:To access the login screen, use this internet shortcut – https://esd.eschooldata.comIf prompted, DO NOT remember passwords. Enter Username and Password here
Printing Tip:To enhance the quality of your report card and progress report printouts from eSchool, it is recommended that you delete the header and footer in FILE > PAGE SETUP. This modification should be made on each computer that will be used for printing.
Home Page:Each homepage may look different based on the permissions a user is assigned. Menu is based on permissions This icon will return you to the homepage from any screen User identification School identifier Announcements
Personal Preferences:The color chart at the top of the screen allows the user to customize the look of the program. By choosing My eSD > Preferences, the user can also determine if the sub menu should appear on the left or right side of the screen. Help:User guides, release notes and quick reference guides are available by selecting the HELP icon.
Menu Navigation:When the menu items across the top of the screen are highlighted, a sub menu will be displayed just below. The work area will not change until one of the sub menu items are selected. Sub menu Main menu Page options Page menu Breadcrumbs Work area
Administrative Reporting eSchoolData Part 2 – Student Profile
Student Profile:Individual student information can be obtained from choosing STUDENT > PROFILE. SEARCH. There are several selectable areas of this screen – see below: Phone – red indicates guardian alert Student Schedule IEP and 504 Add/Drop Student information
Student Profile – Phone:Choose the phone icon to display contact and guardian information for this student. Icons indicate Resides outside the Household and is the Non-Custodial Parent Quick Link to View Household Information Expand or collapse contact information
Student Profile – Student Schedule:The clipboard will display the current student schedule. Select classes and print assignments for selected classes View gradebook assignments for this class Orange bar indicates student’s current location
Student Profile – Student Portfolio:The student profile contains links to many areas of information for an individual student, including assessments, discipline, health, groups, buses, progress reports and report cards. These links are available by permission
Student Portfolio – Phone Journal:The phone journal will allow the user to post a “free text” entry into a student file. This area can be used to record calls to the home or other important information. Create a new phone journal entry.
Student Portfolio – Student Status:After selecting the status link from the profile choose the status type from the drop down on the right to view CTE, Funding Source, Meal Status, Special Education and Student Status. The student status SUMMARY will display an overview of all status entries for this student.
Student Portfolio – XML Runs:Report Cards, Progress Reports and Transcripts are stored as XML file types. To view progress reports, report cards or transcripts for a single student, select the XML link from the profile. Choose the scheduling year and the applicable tab. Click on the tabs to view the previous report card, progress report, etc. Click on the preview icon to view the student file
Exporting to Excel:Most of the eSchoolData screens have an Excel icon available for exporting information. In all cases, the information viewed on the screen will be exported but there are a few instances where additional information is also included in the export. The Excel File – cont’d.:Once the information is exported to Excel, we recommend the following three things be done in order to make the file easier to work with:1. Save it to the computer in an easy to find location2. Give it a unique file name3. Save the file as a Microsoft Excel Workbook type. Save to this location Unique filename File type
Retrieving Data for Transferred Students:Locate the student in REGISTRATION > TRANSFERRED STUDENTS. Select the student by choosing the radio button. Choose the Previous Portfolio tab to view report cards, progress reports, attendance history, etc. This student has been accepted into another building This student has been re-enrolled
Administrative Reporting eSchoolData Part 3 –Reports
Additional Student Reports:There are several sorting options in the PROFILE that can categorize students by Counselor, Gender, Ethnicity, etc. located under STUDENT > PROFILE. Choose the category from the drop down menu. Enter the search criteria in the box.
Discipline Reports:The Discipline Report Wizard located under STUDENT > DISCIPLINE can be used to view all incidents and actions, selected incidents or actions, or certain grade levels or particular students.
Discipline Reports – VADIR:The state required VADIR report is updated automatically as state incidents are recorded in student files. The report is located under STUDENT > DISCIPLINE > VADIR Report. Choose Run Report.
Attendance Reports:Select REPORTS > ATTENDANCE for links to the Student Attendance Event Report, AT-6, Attendance Close Out Report, Attendance Letters, Excessive Absences, Perfect Attendance, Attendance Reasons Search Reports, SA129 and Cumulative Attendance Summary Report. Cumulative Attendance Summary can be generated and printed at the end of the school year to store in the student file
Custom Reports:Choose REPORTS > CUSTOM REPORT to create reports containing demographic, status and registration information. Choose NEW QUERY to create a new report. Uncheck “Enrolled Students Only “ to include transferred students Choose PREVIEW or SAVE to view report Choose report elements by double clicking on them
Reports > Custom > Data Tables:The user can create a custom report by selecting the information necessary in the available data tables. After saving the report, the user can choose the NEW REPORT icon to select the type of report for output. Delete this report. Edit this report. Choose this icon to view report style.
Access Download:The Access Download is available under REPORTS > CUSTOM. It is a compressed district wide report that can be used to view formatted reports such as class lists, labels, schedules, bus information, etc. Choose the file created last evening. The file must be SAVED and EXTRACTED to be useful. The download updates nightly so the report is ONE day behind.
Reports – Roster:Class rosters can be printed by selecting REPORTS > ROSTER. Choose CLASS ROSTER from the page menu, select semester, period, day patterns and any other criteria and PRINT CLASS ROSTER. Attendance and Grade Entry Rosters available on this menu Student Homeroom report
Exports:The NY state eScholar, transportation and other exports are located under REPORTS > EXPORTS.
Reports > Grade Reporting:Follow the link above to access the page menu where Elementary Report Card, Secondary Progress Reports, Transcripts and Report Cards can be viewed, modified or created. Report Card and Progress Report Settings can be adjusted from this screen also.
Reports – Journal:To view all phone journal entries within a specified date range choose REPORTS > JOURNAL. Select Journal Type – Phone Log and enter a date range. SEARCH. Select Journal Type and enter date range
Demographic Validation Forms:Student contact verification sheets can be produced by selecting REPORTS > REGISTRATION > Demographic Validation Forms. Select grade (s) and scheduling year and form type then PRINT.
Scheduling Reports:Master Schedule or Student Schedule reports can be accessed from REPORTS > SCHEDULING. The Student Schedule Report screen is shown below. Choose Enrolled Students for all Students Choose Criteria Student Classes Add/Drop report produces a detailed listing of scheduling changes and includes the modifier. Selected Options will be displayed here
Reports – Enrollment:Enrollment reports by Gender, Ethnicity, Status and Special Education can be found under REPORTS > ENROLLMENT. Choose ENROLLMENT REPORTS on the page menu. The graduation report and BEDS report are also available on this page. Note: The enrollment report will default to all PUBLIC schools if the district wide option is selected. User can choose all school types Choose Tab The Graduation Report can be used to view diploma types, post graduate plans and cohorts. The BEDS Report is a snapshot of the enrollment on BEDS day. The total suspensions and unexcused absences from LAST year appear at the bottom of the report. Note that these totals come from ATTENDANCE not DISCIPLINE.
Enrollment Reports by Ethnicity:Enrollment reports have been updated to comply with the 2010-11 Race Guidelines. The Hispanic column is populated if the Hispanic Indicator is set to YES in registration. However, overall totals will not reflect the Hispanic numbers shown in this report – only Race Totals. The 286 total does not include the 2 Hispanic 10th graders
Civil Rights Report Assistant:This report located under REPORTS > ENROLLMENT is designed to help the user complete Part I of the Civil Rights Report. Choose specific dates for student enrollment and IDEA and applicable courses. Next choose the type of report needed.
Birthday Report:Student and staff birthday reports can be found under REPORTS > BIRTHDAYS.
Student Buses Report:To generate bus list reports, choose STUDENT > BUSES > Student Bus Status. Choose Search Criteria Expand to view buss assignment
Staff Schedule Report:Choose STAFF SCHEDULE > STAFF SCHEDULE REPORT to find a teacher and view the classes assigned to that teacher. Choose Staff Member Print Attendance Roster for Substitutes
Cafeteria Module:Lunch types can be defined, entered by teachers in certain periods and lunch counts can be made available to the cafeteria staff. To set up lunch types – go to DISTRICT > CAFETERIA > Lunch Type and choose NEW. Enter the lunch type information and hit SAVE.
Update Lunch Menu:Choose DISTRICT > CAFETERIA > Update Lunch Menu to update the calendar with the lunch types. Choose all appropriate items in the lunch type, school, day and month columns. The entire monthly menu can be displayed by choosing DISTRICT > CAFETERIA > Display Lunch Menu. Use these check boxes to add the menu item or remove it from the selected days
Defining Periods for Cafeteria Module:Define the periods that will have the ability to enter lunch counts by editing the time equivalency schedule under DISTRICT > SCHOOLS > Time Equivalency Schedule. Teachers will enter the lunch information in the attendance screen using the roster codes. Use the edit pencil to define periods for lunch count. Click on the roster code to enter lunch in the teacher attendance screen.
Lunch Counts:Lunch counts can be viewed by the cafeteria staff by selecting DISTRICT > CAFETERIA > Lunch counts.
Administrative Reporting eSchoolData Part 4 –Academic Reports
Assessment Reports:Choose ACADEMIC > PERFORMANCE > Assessment Reports. Select the desired report from the three choices listed.
Assessments NOT Taken:A report of assessments that students may still need to take can be obtained by selecting the appropriate tab on the main screen and choosing the applicable search criteria. Use the Excel icon to generate a printed report.
Assessment Analysis:Choose REPORTS > ANALYSIS to view a detailed report of selected assessment scores. Additional filter options Drill down to view students
Importing Assessments:The user is able to import assessments by using the new drag and drop interface to align columns from your source file to corresponding eSchool fields. This tool can be found under ACADEMIC > ASSESSMENTS > Import Student Assessment Data.
Marking Period Totals:To view courses that were utilized in determining marking period averages, choose ACADEMIC > MARKING PERIOD TOTALS. Choose a marking period. To recalculate – select the RUN button. Click on a student or select the Excel icon to view the courses and grades used to calculate the student average. Excel report lists course information for this student
