OBJECTIVE • Helping to promote the Relay for Life • Assisting and being a part of this life-changing • experience. • Making it easier for the committee to prepare the • event. • Bringing cancer survivors together in the community.
WHAT IS RELAY FOR LIFE • Relay for Life is the American Cancer Society’s • signature activity. • It offers everyone in the community an • opportunity to participate in the fight against • cancer. • Teams of people from all walks of life have fun • while raising much-needed Funds to fight • cancer and raise awareness of cancer prevention • and treatment.
CELEBRATEthe lives of those who have battled • cancer. The strength of survivors inspires others to • continue to fight. • REMEMBER loved ones lost to the disease. At • Relay, people who have walked alongside people • battling cancer can grieve and find healing. • FIGHT BACK. We Relay because we have been • touched by cancer and desperately want to put an • end to the disease.
STATISTICS ONE IN THREE PEOPLE WILL BE DIAGNOSED WITH CANCER IN THEIR LIFETIME. Estimated new cancer cases and deaths in the U.S. in 2008 Estimated new cases: 1,437,180 Estimated deaths: 565,650
SURVIVORS Cancer survivors are all those diagnosed with any type of cancer through the balance of their lives.
THE COMMITTEE Julie Peacock, Edith Ramey, Kayla Owens, Amanda Rogers, Missy Martin, Connie Watts, Mary Reilly, Glenda Haynes, DD Dixon, Leslie Easley Keri House, Joe Halm Is a group of volunteers that work all year to raise money, bring awareness , plan and execute the Relay for Life event.
DATABASE The committee did not have a database for cancer survivors. They had to manually search through papers to find information. They also had to address invitations by hand, which was very time consuming. As a group we decided to create a database to make it easier to access survivor information, to keep from loosing information, and to make addressing the invitations quicker and easier. • Compiled addresses from past cancer survivor registration • forms. • Set up a database with Microsoft access. • Transferred the information into the database. • We was able to add 30 new addresses to the database by promoting the cause.
INVITATIONS and FLYERS To promote the cancer survivor banquet we decided to print invitations for survivors; and flyers, which will be displayed at clinics and the hospital. • Discussed with the committee about what information they wanted to • appear on the flyer and invitations. • Researched on the internet for information, logos, pictures, • and poems that would be helpful with the design. • Chose the color theme purple and silver. Purple is the color • that represents all types of cancer and silver shows the 25th • anniversary of the Relay. • Used Print master software to design flyers and invitations.
CHALLENGES • INVITATIONS • Tried full sheet, half fold and quarter fold. Decided on half-fold as a card • so we could use larger fonts to make it easier for survivors with vision • problems to read the content. • Planned on using purple resume paper and fonts in silver. Ordered trial • paper. Unfortunately we were not able to use it due to printing difficulties. • The silver would not show up on the purple paper. • Changed to white resume paper and used purple fonts instead. • Changed many times the layout, design and information. • Decided to put on a cutout for return information. Made several different drafts of the flyer and invitation for the committee to choose from.
RELAY KICK-OFF This is the official start of the new Relay season. The purpose is to get people involved, to recruit new Committee members and teams, and to retain the old ones. We attended this event not only to show our support, but also to present different drafts, make necessary changes and get final approval from the committee before print.
PRINTING • FLYERS • They were the easiest and fastest to print, because we could • print them all at one time. Used copy paper. • INVITATIONS • We had to set up the HP printer for double sided printing and • insert each paper twice to print. Used Resume paper. • ENVELOPES • Printing the addresses on the 5 ¾ X 8 ¾ size envelopes was • the biggest challenge for us. We set up the computer with the • formats and database. The addresses printed on the • envelopes but in the wrong places. After several trials, hours of • frustration and changing inputs on the computer and printer it • still wouldn’t show the expected results. We didn’t give up and • Don finally figured out the problem and we were able to print • the envelopes. We used the database to pre-address the • envelopes.
OUTCOME Counting each team members time they invested to complete their tasks; we spent a total of 60 hours to complete the project. 100 Invitations 75 pre-addressed envelopes 20 Flyers DATABASE
