Requisition Approval Overview • A user must be granted access by the System Administrator in order to be able to approve requisitions. • Approvers are only authorized to review requisitions for specific department approval groups that they have been assigned. • When a requisition is created and routed electronically the approvers (and HR) will automatically receive an email to notify them that a requisition has been created and their action is required.
Approver Actions • There are four actions that an Approver can choose from: • Approve • Deny • On Hold/Pending • Cancel • Comments that are added to this screen are viewable by all approvers and HR.
Approval Actions/Email Notifications • If a Requisition is ‘Approved’ the requisition and an email will automatically be sent to the next approver in the process (or HR if no further approvals are required). • If a Requisition is ‘Denied’ the requisition and an automatic email will be sent back to the user who created the requisition. The creator can then cancel the requisition. • If a Requisition is marked ‘On Hold/Pending’ an email will automatically be sent to the creator of the requisition. The creator of the requisition will see the requisition on their dashboard page under the ‘on hold requisition’ section. • If a Requisition is ‘Canceled’ the requisition and an automatic email will be sent back to the user who created the requisition.
Tracking the Requisition • The ‘show approval detail’ link will display the tracking of the requisition with the date and time stamp and those users involved in the approval process. • The arrow under the req.# column will show where the requisition is currently at in the process. • The ‘history’ link (under the Action column) will display the history of the requisition.
