USM Conference MHEC Automation Presentation
Presenters Edith Bevan, Frostburg State University Angela Hovatter, Frostburg State University Kevin McRae, The Cedar Group, Tech Lead Jill Palla, The Cedar Group, FA Lead
Summary of Presentation This presentation will review and summarize how we automated the MHEC Scholarship Process in PeopleSoft.
The Design • Modification to Mass Activate Aid Years • Delivered FA Term Build • Delivered Budget Build • Modification to Format the MHEC file correctly, handle specific situations, create reports and flat files • Modification to Validate and Post the Awards in PeopleSoft
Modification #1 to Mass Activate Aid Years • Needed to activate aid years for MHEC awards where not already active • After the Mass Activation is complete, we could take advantage of delivered FA Term and Budget Build Processes • Timing of Mass Activation is important • Which file to use to Mass Activate is important
Modification # 2 to Manipulate the MHEC file • Manual Awards • Cancelled Awards • Award Changes • Errors • Estimated Awards
Modification #3 to Validate and Post the Awards • Already had a Component Interface/App Engine process to post awards in batch • Existing process required a specific format • Advantages of Component Interface/ App Engine Process
Component Interface • Component Interface – enables batch processes – through a PeopleCode program or an external program – to access that component’s data • A component Interface is a PeopleTools object that you create in Application Designer • External applications need not be concerned with the details of page structures and component definitions
Application Engine • Application Engine supports PeopleCode Actions • Application Engine is a development tool that allows you to develop programs that execute SQL, in batch and online mode, against your data in a procedural and dynamic structure. • Most programs need to check that a certain condition is TRUE prior to executing a particular Section.
Application engine FSU_FA100 - AWARD_ENTRY_MC Component Interface
Message Catalog • FA_TERM or STUDENT_AID not present • Student is already awarded this item type • Multiple ACAD_CAREER values in FA_TERM • Review Award for potential errors
