  3. The EndNote Library • EndNote Library = [your references].ENL • Figures, groups and other significant files are stored in a [your references].DATA folder. Move, copy or rename both the ENL-file and DATA-folder. • Save ENL-file and DATA-folder together in a compressed library [your references].ENLX.File >> Send to >> compressed library • To restore a compressed library open the ENLX-file in EndNote. ENL-file and DATA-folder will be extracted.

Collaboration • Multiple users can not edit one library at the same time • Multiple users can access one library at the same time: use Windows Explorer to select the Read-Only attribute for ENL-file and DATA-folder • Use the network‘s system of file permissions to control the typ of access allowed for users

  5. EndNote Web • Students and staff of Bonn University have free access to EndNote Web (http://www.myendnoteweb.com) as a component of Web of Science (via Bonn University Network) • Web-based • Limited functions • Sharing groups with other EndNote Web users • Easy transfer to desktop

  9. Output Styles • Determine how references are formatted in the preview and for the Format Bibliography, Format, Print, Export commands • Output Styles on the Main toolbar: List with some common styles • Edit >> Output Styles >> Output Style Manager: Over 2,800 Styles.

Preferences Edit >> Preferences ... • Reference Types • Default Reference Type: Choose which type is default when creating a new reference • Modify Reference Type: Rename, sort or hide input fields • Reference Type Table >> Export/Import:Save Preferences and import it in other libraries • Display Fields: Change Reference List pane • ...

  13. Match Case and Match Words • By default Endnote ignores capitalization and finds partial-word-matches • Use Match Case to find "AIDS" but not "aids" • Use Match Words to find "state" while ignoring "statehood" or "understated"

  15. Entering a New Reference • Reference >> New Reference • Select a Reference Type • Enter bibliographic data (mind citing rules) • Close the reference to save it Reference Type list

  16. Author Field • One name per line • (first name) (second name) or (second name), (first name) - EndNote recognizes first and second name. Problem: • Entering "Li Peng" => Output "Peng, Li" wrong • Entering "Li, Peng" => Output "Li, Peng" ? depends on citation rules of your institute or publisher • Entering "World Bank" => Output "Bank, World" wrong Entering "Li Peng," => Output "Li Peng" Entering "World Bank," => Output "World Bank"

  17. Searching Databases with EndNote • Connection files tells EndNote • which database • where to find it • what search options are available • Access restricted databases • via Bonn University Network • via VPN-Client • no access to databases without licence at Bonn University

  21. Importing Reference Data • Open database, search and save results • Open EndNote, from File Menu choose Import • Choose saved results • Select Import Option

Import Options • EndNote Library: From one EndNote library to another • EndNote Import: downloaded from database which offer EndNote format • Tab-Delimited: text files in which the fields are separated by tabs • Reference Manager (RIS): a common export format to export bibliographic data • ISI-CE: text files downloaded from Web of Science • Other filters: special filters configured to import data from a variety of databases

  23. Importing Data from ULB Main Cataloque • Search DigiBib (see www.ulb.uni-bonn.de) • Save results as „Lesbarer Text in deutsch“ • Open EndNote, choose Import Option „Other Filters“, select Digibib (HBZ) • A new version of DigiBib is under way. It will offer EndNote format.

Cite While You Write • Cite a reference and generate bibliography with MS Word 2000, XP, 2003 or 2007 • Open the EndNote Library • Start Word and open the paper your are writing • Position the cursor in the text where you would like to put the citation • Word 2007: EndNote tab >> Citations >> Insert Citations >> Find Citation(s)

  27. Changing Bibliographic Format • Citations are automatically formatted • A bibliography is updated at the end of the document • To change formate in Word:EndNote tab >> Bibliography>> Format Bibliography Select output style

  28. You don't use MS Word? Format Paper feature: copying temporary citations from EndNote and pasting them into your word processing document. • Open your word processor • Have EndNote runnig in the background to switch between the two progams • RTF (Rich Text Format):first save a copy of your paper as RTF, then scan that copy • ODT (Open Office):you can scan Open Office documents directly

Scanning Files • Open your document • Position the cursor in the text where you would like to put the citation • Switch to EndNote, select references that you want to cite • Edit >> Copy, return to your word processor and Paste -or drag and drop • Citations appear in EndNote temporary format: Moorhouse, 1993 # 125 • When you have finished additing citations save your document

Formatting Files • Return to EndNote • Tools >> Format Paper, select your RTF or ODT document • Check the Citations window to make sure that EndNote was able to find matching references for all of the citations. • Select an output style • Format: EndNote creates a copy ofyour paper with formatted citations and a bibliography

Exporting References Use Export to create a file of references formatted according to the chosen output style. • Text File:for draft purposes or to import into another database. • Rich Text Format (RTF):preserves font and text style informations, ideal for editing or printing a stand-alone-bibliography using a word processor. • HTML or XML:for World Wide Web
