Key Points – Online Journal Entries Journal Date: Check that journal date applies to month you intend to post too. Only open periods are valid Journal Header: Description is the only field you need to fill in. Ensure that the description describes the transaction The header Business Unit needs to be in at least one of the journal lines. This drives workflow approval Edit journal process must be run and receive a “Valid – Valid” status in order to receive the workflow “Submit” button Use document attachment button on the workflow page to attach supporting documentation. Key Points – Journal Approval Check “Approval Inbox” often Automated emails are generated to notify approvers that journals are ready for review/approval Use the comment box to make any special notations or comments You can add additional approvers or reviewers by clicking the “+” in the workflow stream Multiple approvers may be notified of journal readiness but only one approver is required to approve journal Use push back feature to send journal back to previous workflow step * You can find these tools here:
Key Points – Performing Inquiries Inquiry name should have meaning. You will use this same inquiry over and over Must select: Business Unit , Ledger (ACTUALS), Fiscal Year, To/From Periods If you select multiple periods (months), they will be displayed period by period in order Be specific in your selection criteria If you have more than one department/project and would like to view them together you can request that a Chartfield Value set be created Always click “Show YTD Balance” or “Show Transaction Details” in order to receive data * You can find these tools here:
Key Points – Additional Journal Topics Take online GL Basics courses. Encourage the people in your areas to also take the courses Spreadsheet upload: easy means to load large journal entries. After importing to PeopleSoft an edit check process must be run in order to submit for workflow :
