Overview - Online and Offline Access The Microsoft Dynamics CRM for Outlook setup program allows you to install either of the following clients: 4 of 19
Installing Microsoft Dynamics CRM for Outlook – Client CD Client Installation Methods • Install from CD or Install location. • Install using an .msi image and Group Policy Objects Install from the CD or install location • The installation user must be a Local Administrator on the computer. • This is a requirement to simply run the Client Setup program • Also a SQL requirement that allows the Setup program to create the SQL Server Express database on the client computer 5 of 19
Installing the Microsoft Dynamics CRM for Outlook – Group Policy Objects Install using an .msi image and Group Policy Objects • Assigns minimum security privileges to the image. • This satisfies system security requirements to run the Client Setup program • Because of this, the installation user does not have to be a Local Administrator • On the Microsoft Dynamics CRM Server, the Administrator runs a command line instruction to create an Administrative image of the Microsoft Dynamics CRM Client folder and either the desktop or laptop client’s Setup program. • - .msi files are included for both client setup programs. • - This enables you to create separate Administrative images of the Client Setup for each of these .msi files. 6 of 19
Installing the Microsoft Dynamics CRM for Outlook – Group Policy Objects Part 3 The System Administrator must publish the Administrative image through Group Policy Objects. This assigns to the image the minimum security privileges needed to install the client During the publishing process, select whether the Client Setup program should be: • Automatically started the next time each client logs in • Manually started by each user via Add or Remove Programs 7 of 19

Microsoft Dynamics CRM for Outlook with Offline Access Because the Microsoft Dynamics CRM for Microsoft Office Outlook only functions in an online mode, the user experience is similar to that of the Web browser client in that both are online at all times, and no offline synchronization is needed. Microsoft Dynamics CRM for Outlook with Offline Access can be used in both online and offline modes. Working in an online mode may be optional for some users and required of others. 11 of 19
Microsoft Dynamics CRM for Outlook with Offline Access Part 2 The following feature set applies with Microsoft Dynamics CRM for Outlook with Offline Access: • Microsoft Dynamics CRM for Outlook with Offline Access continues to run on the local computer and processes all application logic locally. • The primary business logic processing occurs on the central Microsoft Dynamics CRM server. • All database activity is performed against the Microsoft Dynamics CRM database. • The local SQL Server 2005 Express database is not used when the client is online. • If Microsoft Dynamics CRM for Outlook with Offline Access loses connectivity to the server when online, the user is presented with the option to work offline on previously synchronized data. 12 of 19

Microsoft Dynamics CRM for Outlook with Offline Access – Working with Local Data • Users can optionally select specific sets of data they want to copy down to their machine (as opposed to data across all objects) • These records are copied from the Microsoft Dynamics CRM database and stored on your Microsoft Dynamics CRM for Outlook with Offline Access SQL Server 2005 Express database. 14 of 19
Microsoft Dynamics CRM for Outlook with Offline Access – Working with Local Data Part 2 There are two modes for filters: • Simple mode shows a summary of criteria. In this mode, you can only edit values. • Detailed mode shows all criteria. In this mode, you can add new criteria. • Once you select or create data group(s), select the Go Offline option on the Microsoft Dynamics CRM menu to initiate the offline synchronization process. When you select the GoOffline option: 15 of 19
Offline Synchronization The following tasks occur during the Offline Synchronization process: • Prepare sync • Propagate schema changes • Move data Offline Synchronization uses an SQL Bulk Copy (BCP) process to move data from the server to the client. The BCP process performs the following tasks: • Using the existing SyncViews web service to provide a secured way of accessing client data and creating the offline data set. • Storing the offline data set as BCP files. • Inserting each offline data set record into the local SQL Server 2005 Express database. 16 of 19
Offline Synchronization SQL statements are performed to insert each record into the local SQL Server 2005 Express database: • If the record being added already exists in the local SQL Server 2005 Express database, the existing record is deleted. • The record is then inserted in to the SQL Server 2005 Express database. 17 of 19
