BOS User Objectives The following are primary goals relative to improving the user experience through BOS: • Help the user determine with whom they need to register or file based upon business profile and agency criteria • Have visibility into user’s requirements and action items across agencies • Improve ability to efficiently complete registrations or filings by: • Utilizing single sign-on between BOS and Agency Systems • Minimizing redundant data entry

Manage User Account Linking BOS user account to existing agency user account 1 • Key Assumptions: • User has successfully created their BOS login • User may have existing agency login • Following successful account linking, processes are in place to maintain linkage with agency accounts and roles ongoing while meeting account security standards • Federated ID Management in place BOS Portal Dashboard View BOS Portal BOS User Account Management Screen • Identify Agency System(s) • SOS • DOR • DWD • Others TBD in future releases • Validate user rights to Agency User ID with: • Agency Security Protocol • Agency User ID and Password • Submit Login details for Agency system validation User starts process to associate their BOS user ID with their agency user ID’s from their Dashboard 1 BOS Portal 2 Dashboard View User selects agency(s) to associate their BOS login with and provides secure login information for verification by agency system • Following agency system validation of the user’s ID, the BOS Dashboard reflects successful account linkage. • Failure to authenticate should provide notification to user in their BOS Dashboard. • The Dashboard should now display all entities associated with the agency user account 3
Register New Business Full Process - See following slides for step details 2 Registration & filing requirements are now associated with the business for the user to select Dashboard View BOS Interview Dashboard View User starts new business interview process from Dashboard User completes interview questionnaire which results in new agency level requirements User selects registration or filing requirement from their Dashboard 1 2 3 Note: User may go directly to Agency Level registration or filing from the Interview Dashboard View Agency Session Payment System Dashboard is Updated BOS now reflects completed registration or filing, or in-process filing depending on status 5 User completes agency level registration or filing with payment as necessary 4
Register New Business Steps 1 and 2 – BOS Interview 2 BOS Portal Dashboard View BOS Portal User Starts new business interview process from User Dashboard BOS Interview with Roadmap (New Business) 1 • Administers diagnostic interview questions • User enters data to address interview questions • Roadmap shows full list of filing and registration options available to manage a business • Roadmap shows progress relative to overall questionnaire • User can select items on roadmap to skip questionnaire • Interview results in a list of requirements for filing (and estimated payment obligation) • User can launch agency level action item (for registrations or filings) from this screen Filing and Registration requirements are now associated with the business for the user to select 2 User completes interview questionnaire which results in new requirements BOS Portal Dashboard View
Register New Business Steps 3, 4, and 5 – Registration with Agency Systems 2 Agency System BOS Portal Agency Registration Screen • User account is created in Agency System (ideally this is not visible to user) • Agency registration system is brought up to user (via new window or session) • Mapped data available from BOS or other agencies is pre-populated for user with ability to confirm or change during the filing process • User completes form(s) and submits • Payment: 2 potential options • Payment may be required prior to submitting the registration or filing –or – • Pending payment transaction is added to the User Checkout in the Payment Center upon completion of the filing. • User can complete other filings in Agency System, or go back to BOS dashboard (or interview roadmap – TBD) Vendor Payment System Dashboard View Payment Screen • User completes payment requirements for agency transaction • Once the payment is completed the system should send payment history/status to BOS Portal and Payment Center User Selects Registration or Filing Requirement from User Dashboard (or from BOS Interview Process) 3 User Submits Agency level registration or filing and completes payment for filing as necessary 4 BOS Portal Dashboard View User Dashboard is Updated • In-process registrations are updated as required • Payment Center is updated as required • Messages and Notifications may be updated based upon agency workflow 5
Enroll Existing Business 3 • Key Assumptions: • BOS user has previously established identity with agency systems where applicable, and thus the entities within those systems. • In many cases, the entities will already be part of the User View, but may show up as multiple entities (i.e. once for each agency) BOS Portal Dashboard View BOS Portal Enroll Existing Business Screen • Identify existing business from Agency data (if not already in the dashboard from user account linkage) • SOS • DOR • DWD • Associate businesses from each agency (depending on user security and roles) • Validate user rights to business entity (where online agency ID has not been established) • Security Protocol/Questions to meet Agency requirements • User may need to validate rights via manual workflow; workflow many include USPS or email steps between user and agency User starts process to enroll an existing business from the Dashboard 1 BOS Portal 2 Dashboard View User identifies business entities and completes a workflow to associate entities within BOS. • Entities are now included (if they were not before) and consolidated within the Dashboard so that user can view consolidated agency requirements and history by entity 3 Note: The process of joining or linking businesses across agencies will occur only in the BOS system. It is not yet determined whether this will be only at the BOS user level or at a higher level (visible to all users).
Manage Ongoing Business Entity Activities 4 BOS Portal BOS Portal • Key Assumptions: • User has an active BOS account and corresponding agency accounts • Linkage exists between BOS account and agency account(s) • User has enrolled existing business entities into BOS Business Entity Management Dashboard Dashboard View • Updates to general entity information (may result in new filing requirement) • Agent / Role Assignment • Registration and Filings • SOS business entity detail • DWD Uplink • DOR Tax Filing(s) User logs into BOS User Dashboard to make update (or sees message or notification to complete a filing) 1 User selects option to manage business entity activities within the User Dashboard. Based on user’s selected activity, BOS directs user to additional BOS screen or Agency session depending on the activity. 2 BOS Screen to complete activity within BOS solution Agency Session to complete registration updates and filings BOS Portal • User provides data to agency tool per agency role and security • System facilitates updates to synchronize with other agency and BOS systems as needed Dashboard View • User provides data • System facilitates updates to synchronize data across agency systems as needed OR User’s BOS Dashboard is updated following activity(s) to reflect updates, confirmations and exceptions as needed 4 User provides data in BOS screen or Agency session (based upon selected activity) 3
