  4. Date Change • 11 years – trip scheduled in May • 2011 - Request to change excursion from May to June • 2014 – Math Assessment – June 2-4 • DVD completion – possible issue

  5. Numbers Issue & History • Most years 140-160 students interested. This year, 147 packages handed out (as of last Friday). • Maximum number who attend is 108 • Always a wait list and almost always some left on it except in 2012 & 2013. Wait list was exhausted. • 2012 – with new school zoning; fewer grade 8 students • 2014 – hopefully 108 students will attend • 2005 – 149 interested; 108 were to attend – NO Trip • 2000 – 1st Year - unable to fill one motor coach

  6. The Numbers Solution • All grade 8 students are eligible • Completion of 1st fundraiser - due October 31 • $200.00 deposit - due October 31 • Lottery Draw & Wait List - November 8 • Behaviour, academic & attendance monitoring • Excursion is extra-curricular, not co-curricular

  7. Why Not ‘First Come …’? • Fairness to all families/students • Families require time to get $$$ for deposit • First fundraiser helps to establish which students are committed candidates • All students are equal in regards to monitoring of behaviour, academics & attendance

  14. $$$ Particulars • Total Excursion Costs - exceed total student fees • Total Cost – approximately - $86-$88,000.00 • Total Fees – $54,000.00 • Smaller ‘pre-packaged’ trips - $900.00 per • Fundraising efforts cover the ‘extras’ (supply teachers, extraordinary attractions, all meals, chaperone costs, emergency vehicles, safety elements, etc.)

  15. $$$ Particulars Continued • Only other expenses for students are spending $$$ and tip for drivers ($3 per student) • All other expenses are covered by fundraising • NMS Ottawa Education Excursion Fee is $500.00 • This year, costs have increased again, but the fee remains the same

Wait List & Deposit $$$ • Wait List is a lottery draw also • Students originally placed on the Wait List have their $200.00 deposit returned • Students who are added later to the ‘108’ List possibly do not ‘make-up’ missed fundraisers • The initial $200.00 fee will need to be returned to the school if selected from the Wait List

Payments & Accountability • Cheques & cash only - payable to Nashwaaksis Middle School • No post-dated cheques • NSF - $30 fee • Lump sum or payment plan • NO receipts issued until June • Tax Credit (talk to accountant) • $200 down payment due October 31 • Final payment due May 6 • 1st fundraiser $$$ due October 31

Monies & Fees - Security • Envelopes & Baggies – WITH full names • Cheques – WITH students’ full names • $$ Drop Offs – office ‘drop box’ • $$ Drop Offs – directly to Mr. Springer • DO NOT, DO NOT, DO NOT drop off $$$ on my desk or in my ‘door holder’ • Forms & information ONLY may be dropped off in my ‘door holder’ • My classroom # is 114

  19. Student Projects – Free Trip • Academic in nature • Optional • Caters to Learning Styles • Caters to Multiple Intelligences • Eligible for Student Fee Prizes • Prizes include a free trip, 2 - 1/2 trip fee • Criteria to be shared mid-late February • Due Date – March 21

  20. School-Based Fundraisers • TWO Escape Weekends – Ticket Sales – Oct & Nov • BIG PRIZE DRAW in the Spring • No Christmas Fundraiser • No Bowlathon • No Garbage Bags Sales If all students participate as required, fundraising will cover extra expenses

  21. Fundraising Protocol • All students must participate • No allowance for non-participation • Families are encouraged not to ‘buy out’ merchandise. Parent/guardians = ‘driving force’. • Attendance is contingent on students’ participation in fundraising efforts • Students who do not raise required amounts will be taken off ‘108’ list and trip deposit will be returned

Parent Organized Fundraising • organized by parents/guardians; NOT students • authorized by school • not to infringe upon NMS fundraisers (Ottawa & school) • $$$ to go to Ottawa Education Excursion for distribution • only participating students benefit from proceeds • $$$ raised goes directly towards students’ fees • ‘paper trail’ – names, location, amount raised, etc. • cannot begin without ‘full disclosure’

Sponsorships/Donations • responsibility of parents/guardians; NOT students • students do not participate • can assist excursion as a whole or individuals • business or corporate donor • school is financial liaison • ‘request’ letters provided by school (in package) • contributors can receive tax credit receipt

Parent Chaperones • First of April – email intent to Mr. Springer • Interviews – April 22 & 23 • Usually take 6-8 parents/guardians • First Aid Training – Asset • Experience with Children – Asset • Past Experience on Ottawa Trip – Asset • Not a ‘Hockey Weekend’ • ‘On Call’ for 17 hours per day

Chaperone Banking &Student Monies • Parents’ choice to use chaperone banking • Adult leader (chaperone) dispenses $$$ • Spending $$$ and special purchases • $$$ given to students in the mornings • $150.00 cash limit per student • Students encouraged to bring/use debit cards (chaperones do not monitor debit card use) • debit card limits - changed/updated • notify bank to use debit cards out or province

The Big ‘No-No’s’ • Wandering from group • Missing scheduled meeting times • Physical & verbal aggression; bullying behaviour • Disrespect and/or rudeness; Non-compliance • Travelling with or befriending students from other schools • Energy drinks, caffeinated drinks/products • Staying up past bed times • Appropriate residence visits

  30. ‘No-No’s’ Continued • Borrowing or loaning $$$ from/to other students • Visiting relatives or friends in area • Any style tattoos, haircuts, piercings • Cigarettes, alcohol, drugs • Gravol (unnecessary use) • Criminal behaviour or ‘intended’ • Purchases of inappropriate items (alcohol or drug related clothing or jewellery, rude souvenirs, memorabilia) • Headgear in museums

Appropriate Clothing All school rules apply Clothing Policy is a bit relaxed: - pyjama pants allowed - two-piece bathing suits allowed (at pool only) - headgear not to be worn in museums Do Not Want to See: underwear, bras, boxers, excessive amounts of ‘skin’ Undergarmentsare to be picked up in rooms Boys’ Dress-Up Fun does not involve girls’ undergarments

Student & Family Accountability • $$$ does not guarantee a seat • Good behaviour, academic standing, school attendance & participation in all three fundraisers guarantee seats • Students can ‘sit out’ activities at residence • Students who voluntarily withdraw ON or BEFORE May 1 will havefees refunded. After May 1, there is no guarantee fees can be refunded. • Students asked to withdraw by the school will have all fees refunded • Fundraising monies are not refunded • Students can be sent home at parents’ expense (two tickets) - NO REFUNDS

  33. ‘Citizenship’ Tracking • Homework, tardiness, working to one’s potential, unprepared, defiance, disrespect, absenteeism, suspensions, detentions, etc. • Teachers provide monthly reports to administration • Administration has right to suspend privilege • School Suspensions on or after May 23 result in automatic withdrawal from excursion

Don’t ‘Forgets’ • Coloured forms/handouts to be returned • Lock Box in office (drop off $$$, forms, etc.) • Emergency phone numbers & cell numbers • Medical information, insurance I.D. #’s • Updated student information (parents complete application and information forms) • Student photograph (update as styles change) • Blog updates on school webpage • Must participate in all three fundraisers • Due dates must be respected • Excursion is extracurricular, not co-curricular • Excursion is a privilege, not a right
