Overview 1/3 • Background • EIOPA needs to equip its premises to accommodate for its growing number of staff. • EIOPA is also extending its existing offices to the 28th floor of this building, and relocating its conference and catering facilities to that new floor. • Aim of this procurement procedure • Delivery and installation of furniture for new staff, and ability to extend and replace existing furniture; • Delivery and installation of new furniture, in particular for the conference and catering area; • Delivery and installation of furniture suitable for open plan offices; • Delivery and installation of additional furniture and related items; • Provision of related services: maintenance, consultancy, and design.

Deliverables • Existing Furniture • All existing items or equivalent • All replacement furniture should be equivalent in look and feel to the existing one • New Furniture • Part of the required new furniture required for the new reception and conference centre • The style, appearance, and quality of the furniture should be consistent throughout the conference centre • Open Plan Furniture • Hypothetical scenario • The style, appearance, and quality of the open space office furniture should be consistent with existing furniture • Objectives: • To optimise the usage of the room whilst fully meeting the applicable regulations • To provide a meeting corner or separate room for 6 people • Additional Furniture • Non conventional items • Non mandatory

Related services • Repairs, maintenance, and removal services • Consultancy services • Design services • Tenderer’s catalogue of products and services • Extra shelves for shelving units • Provision of replacement keys for all lockable units • Provision of spare parts for all furniture • Furniture rental • Etc.

  9. Ways of submitting offers 1/2 • 1. Submission by post or by courier: • Proposal should be posted not later than Monday 23rd June 2014 • The postmark or the date of the deposit slip shall be taken as proof of the date of dispatch. • Please inform EIOPA about the date of dispatch to the following e-mail address: procurement@eiopa.europa.eu

Submission by hand delivery: • can be done in person or via an authorised representative • To EIOPA’s Reception Office on the 28th floor of Westhafen Tower • Opening Hours: 09:00 and 16:00 • Not later than Monday 23 June 2014, 16:00 hours local time • Please request a receipt as proof of submission, signed and dated by one of EIOPA’s reception officers. • Offers delivered by hand after this deadline will be sent back to the respective tenderers unopened.
