  3. Parent Night Schedule and Portal Release • Schools are sending me their preferred dates (by Tuesday, September 2).

  4. What needs to happen before Parent Night? • Principals validate that all teachers are following ECPS PowerTeacher Expectations: **Attendance is being entered by 9:30 a.m. each day (elem-middle) and during the 1st fifteen minutes of each period (high school). Data managers are entering attendance daily for classes with substitute teachers. ** Gradebooks are set up with grades being posted a maximum of five (5) school days after submission of assignments. If this is not being done at your school, the release of the Parent Portal is going to cause you and your staff a lot of headaches – take steps to ensure this is happening now.

  5. What needs to happen before Parent Night? • Identify two (2) to four (4) leads in the school that will: - view the Parent Portal video to understand parent options located at: http://quietube6.com/v.php/http://www.youtube.com/watch?v=S77xM5X0p68&feature=youtu.be - complete the PowerSource Training module called: Introducing Parents to PowerSchool's Parent Portal (This course is for school and system administrators responsible for teaching parents and guardians how to use the PowerSchool Parent Portal. Administrators will learn how parents and guardians sign in, add students to parent/guardian single sign-on accounts, and customize options in their portal to fit their needs). ***************************************************** Email the full names of your lead to jmorris@ecps.us asap (but by September 4, 2014) so that we can set up their PowerSource account for them.

What needs to happen before Parent Night? • Send Welcome Letter home to parents with (1) application (if there is not one on file at the school) and (2) User Agreement attached – two (2) weeks prior to Parent Night if possible. • Ensure that Spanish speaking parents receive the Spanish version of the above documents. • Collect completed/signed applications and User Agreements (in front office at school) – photo ID validation required – one (1) week prior to Parent night. • Send Notary application to any parent that cannot return application to the school during operating hours. See attached Welcome Letter, Application and User Agreement.

  7. What needs to happen during Parent Night? • Make sure that the Access letters (auto-generated letters) are available for all parents – even those that have not yet submitted an application as some will show up that night wanting access. PowerSchool Data Managers should print access letters (and should be present during your Parent Night to help troubleshoot any access problems). • Have Access letters in alphabetical order with signs to help parents know where to get their information. Example: Last names that begin with A-G: 1st table Last names that begin with H-S: 2nd table Last names that begin with T-Z: 3rd table

What needs to happen during Parent Night? • Have computers available so that parents can attempt login to Parent Portal while at the school if desired. • Have the two (2) to four (4) leads available to assist parents (those designated school personnel that have completed the PowerSource training module).

What needs to happen after Parent Night? • Have a school plan for handling access requests from parents after Parent Night. • Have a computer(s) set up for parents to access the Parent Portal (per our User Agreement) during the school day. • Follow the PowerSchool Problem Solving Flowchart to report issues or concerns: ** PowerTeacher set up issues: 1st - school PowerTeacher leads 2nd – school PowerSchool manager 3rd – LEA PowerSchool manager ** PowerSchool Parent Portal issues: 1st – school PowerSchool manager 2nd – LEA PowerSchool manager
