Secure MeetingWhat it is… • Online presentations/collaborations • Remote Desktop on Steroids! • Similar to WebEx Colorado State University
Secure MeetingWhat it isn’t… • No sound – need a conference call to augment online meeting • No video – not designed for video presentations (we have other tools for that) • It is not WebEx. This is good and bad – price vs. performance Colorado State University
Secure MeetingWho can use it…and from where? • Any staff/faculty/associate with an eID can set up a meeting. Go to: https://secure.colostate.edu • Anyone, anywhere on the Internet can access your meeting with a web browser, the proper URL and a password. For example: https://secure.colostate.edu/meeting/20314 with a password of: rams • Supports 100 people at a time: 5 meetings of 20 each, 1 meeting of 100, etc. • Need high-speed internet – no modems! Secure MeetingWhy use it… • Standard meeting – You have a PowerPoint or some application on your system you wish to interactively share with others. • Support meeting – You need help from technical support or technical support needs to help you. Colorado State University
Secure MeetingMore uses… • Allow outside support to see “into” something you manage at CSU that is typically behind the firewall. You can share out your “window” to that device in a secure meeting. • Share a picture of something with a salesperson or colleague. • Share application between Windows/Linux/Mac owners. • You may be involved in a project and others have information to share, but not the tools. This allows you to provide your group the tools to do such sharing. Colorado State University
How to use it…First, some terminology • Conductor – initiates/ends meeting. • Presenter – shares application • Controller – drives the mouse • These can all be the same person, three different people or some combination in between. Colorado State University
Different Types of Meetings • Standard Meetings: • Scheduled Meeting • Instant Meeting • Support Meeting Colorado State University
Scheduled meeting… • Allows conductor to send out e-mail invitations in advance • Can only be started during the scheduled meeting time. • Useful for a formal presentation involving several invitees and advanced preparation. • Can use “Outlook” plugin to schedule meetings and send out the invite. Instant Meeting • No scheduling involved – conductor can start meeting immediately. • No automatic e-mail to invitees. • Password and URLs are exchanged via phone, personal mailing list, or other means. • Useful for impromptu needs to share an application on one’s desktop. Colorado State University
Support Meeting • Only permits two individuals at a time. • Designed to share entire desktop of invitee. (It is possible to share desktop of inviter and individual apps like in the other meetings, but it’s not as simple to do.) • Useful for quick-and-dirty technical support troubleshooting. Tips/Tricks • Practice – don’t try to wing it. • Have folks connect in ahead of time and check their browser’s capability. • Don’t do other things during presentations: this can lead to utter confusion for you and your PC! • Same for invitees! • Macs can only share the whole desktop. Hardware Recommendations • CPU: 500MHz or above recommended for Windows Client • Memory: 256MB or above recommended. For Mac systems, we recommend G4 with • 256MB of memory • Screen Depths: 8, 16, 24, and 32-bit. For best results, use 16-bit. • Monitor Resolutions: Up to 2048 x 2048. 1024 x 768 is recommended. Conference calls • 3 people – you can do this on your own phone. • 4 or more: • Call Campus Operator [Dial "0"] to arrange for call. • Provide name and telephone number of person originating call and the time and date for call. • Operator will assign a phone number which is good from midnight to midnight on date of call. Provide this number for all callers to dial at the designated time. • One minute before call time, originator will dial the assigned number and will hear a continuous ringing until other callers start dialing in. Originator may place call on "hold" but cannot hang up until call is completed. Colorado State University
