Virtual Fall Kick-Off Important Information for All Special Education Teachers & Related Service Personnel
Purpose of Presentation • To ensure teachers have information needed to perform their required duties • To update teachers on changes in procedures • To provide new staff members with important procedural information
Let’s start with the Class Lists… • Class Lists are sent monthly (15th) & must be returned to Amy (by the 25th) • Ensure all students appear on the class list • Make sure information is on the class list is accurate (required for reimbursement, which affects district funding!) • Please send Enter/Exit Sheets with the Class List • Any EE Code change made to a student on your Class List must be accompanied by the FACT’s summary • Refer to Class List directions
Regarding Foster Children… • Mark Foster Box on the IEP • Note this on the Enter Sheet • In addition, notify Amy if the student is a foster child, because your district receives 100% reimbursement on foster children
TCT-Teacher Consultation Team Meetings Requests for referrals must be considered within 14 days, so… If you receive a written request, be sure to forward it immediately to your building principal. The principal will forward the request to the appropriate B/F Region staff members. If a parent makes an verbal request, ask them to put the request in writing & take the request to your principal. If a student is “deemed not necessary” for an evaluation, send the Decision Regarding Referral to Amy If Parental Consent is not obtained at this meeting, the Special Education Teacher must obtain the consent a.s.a.p. & send it to Amy so that PPS staff can meet the 45 day timeline.
Outside Evaluations • Outside Evaluation Reports must be considered within 10 days • So… • If you receive such a report, be sure to notify your principal first. • Make sure your PPS staff members receive a copy of the report. • They can then schedule the meeting within the required timeframe.
Initial Evaluations • Your PPS Team completes Initial Evaluations within 45 school days. • The Eligibility Meeting to share results will be scheduled at the domains meeting. • If a student is eligible, bring a draft copy of the Initial IEP to the meeting. • Once eligible, the Special Education Teacher will send the necessary paperwork to Amy (see attachment).
Re-evaluations • Re-eval memo is generally sent to the Learning Behavior Specialist (LBS) 4 months prior to the date the re-evaluation is due • LBS completes packet on CRT and forwards it to the School Psychologist within 15 days • Please see the Re-Evaluation Procedure attachment or Re-Evaluation Procedure for Speech Language Only attachment for further details.
Annual Reviews • Hold the Annual Review prior to the due date • Complete a draft copy of the proposed IEP & send it to parents • Send notice 10 days prior to meeting • Please see the link provided to review more detailed information contained in the ISBE PowerPoint Presentation entitled “Writing Compliant IEP’s”
Notification of Meeting • Please make sure that the related service personnel have 10days notice of any shared students • Teachers of students who require transition plans (14 ½ & older), need to make sure Dawn Skorzewski is invited to the meeting and has 10 day notice, as well • The teacher is required to send the notice of meeting
A change from the past… • According to our lawyer, we can no longer extend AR goals and objectives beyond a year. • In the past, if a parent could not come to a meeting (or we failed to schedule it) before the AR due date, we could call the parent, ask their permission to extend the goals, send them a copy, and meet when they could. • So, we need to be proactive in our planning and scheduling of the Annual Review
IAA • 1% cap- if your district has students placed outside the district, these students must be considered as part of the 1% • If an IEP Team is considering a student as a candidate for IAA, they must complete the IAA Participation Guidelines • Be sure to include IAA in your Meeting Notes (next slide)
Meeting Notes Required • A brief but concise summary of the issues discussed at the IEP meeting will be documented and reviewed with team members • This information will be included in either the Additional Information section or recorded on the Addendum page • Meeting Notes increase the clarity of the plan & decrease the possibility of miscommunication
Are you handwriting additions in the IEP during the meeting? • Any handwritten additions to the IEP must be typed into CRT within 3 days of the conclusion of the meeting • The parent leaves the meeting with the complete “sloppy copy”, but then… • This cleaned up copy must be sent to the parent
Just so you know… • Special Education Teachers are Learning Behavior Specialists (LBS) • You are not an LD teacher, or an ED teacher. • Seems like a trivial point, but you might save yourself some trouble if you describe your services with this in mind
