  2. Block Style Open Punctuation • Block Style: Everything is at left margin. Do not indent • Open Punctuation: No punctuation after salutation or complimentary close.

  3. Margins • 2” margin on top • 1” margins on left, right and bottom Top – leave room for letter head Set Margins • File – Page Setup – Margins tab • Only change the four majors (top, bottom, left and right)

  4. Header • Not to be confused with the heading portion of the memo. The header is where you will include your name, class, assignment & date for each activity. • View menu – header & footer • Type your name at left margin. Strike the tab key twice type the assignment – enter. • Type your class id. Strike the tab key twice type the date – close the header.

  5. Dateline • Begin on first line of type • Use current date • Initial Caps – spell out month • QS after dateline

  6. Letter Address • Looks like envelope would • Name, Title (if necessary) • Initial caps • DS after dateline

  7. Salutation • Use Sir name and last name only • No punctuation • Initial caps • DS after salutation

  8. Body of the letter • SS Paragraphs & DD Between • At left margin • DS after last paragraph

  9. Complimentary Close • Examples: Sincerely, Truly Yours, Cordually Yours. • Only the first letter of the first word is capitalized (Sincerely yours) • No punctuation • QS after Salutation

  10. QS after Closing • This is where the sender will sign • Blue or Black ink • Keep within limits of LM and just beyond name

  11. Writer’s Title • Use only First and Last Name • Title is a line below writers name • Do not include address • Initial caps • DS after Writer’s title

  12. Reference Initials • Represent who typed the letter • At LM • Lower Case • DS after ref initials

  13. Enclosure Notation • Only if needed – will mention in the letter • At LM • Initial Caps
