Creating Contacts in Business Central On this next blog will be discussing the process of creating a new contact either to an existing customer or a brand new contact without a customer card that will allow you to begin The opportunity process in Business Central. Creating a new “Person” contact without Customer in Business Central: In this example we are going to demonstrate a situation where a salesperson makes a connection with another salesperson And that second salesperson is interested in learning more about our company’s services and or specific product to create a specific opportunity. 1. First, lets navigate to the CONTACT card and select “NEW”: After selecting you hit enter to get the next contact number then enter in The salesperson’s full name and then the key part in this specific page is the type field should be set to “Person” and not “Company”, this represents that this record we are creating is only a person contact that is not associated with any existing customer in the database yet. 1. Continue moving through this page and next you’ll see the communications tab here you go ahead and enter the address information related to this
person as shown below: 2. For a person contact that we are entering there are many other additional information that we could enter if we choose to for this person contact. for example we could identify related Contacts we could add them to a specific segment or mailing group. At this point all the standard information for the person contact is complete. The next process I will show you is how to go ahead and add a new contact and link them to an existing customer. One thing to note as a prerequisite the customer should already have their contact card already created. Anytime a new customer is created in business central the system will automatically create a new contact card for that customer. Furthermore at the time of cutover and go live or data migration Once the new customers have been imported there is a function in business central that allows you to go ahead and create the initial contact cards for all the customers automatically by way of a initialization function called “Create Initial Customer Contacts.
3. The first step is the open up the contact page and select “NEW”: The key to this setup and assigning a person to a customer is to select a company number value in the company number field on the contact card as shown above. in this example I assigned John Smith to the company “First Up Consultants. 1. Below we can verify that John Smith is truly assigned to “First Up Consultants” by the screenshot below: We hope you found this blog post informative and now you can begin using the contacts functionality in business central to set up new person contracts and assign persons to existing company contacts.
