    4. December 2008 4 SIS Data Quality Who can provide and update my SIS information? Only Home Schools are permitted to update SIS Information What am I responsible for? Accuracy of student data Correcting student data How can I ensure my SIS data is accurate? Review the processed files Review reports

    5. December 2008 5 SIS Data Quality Reducing Duplicate State IDs Once the State ID has been assigned to a student, please include the ID in all future submissions to SIS. If you obtain a State ID on-line or from another district, input the ID into your local Software Administrative Package. If you need to update one or more of the Student Demographic fields, include the State ID in the batch file to ensure that you do not potentially create a new ID for the student.

December 2008 6 SIS Data Quality Enhancements to SIS Only grades 11 and 12 can have an Exit Type code of “06” Graduation The Exit Type Code “05” Promotion can no longer be specified for students in grade 12 2009 Fall Enrollment Counts Report is now available in SIS Login to ISBE SIS via IWAS Click on Reports Click on Fall Enrollment Counts – Summary View Only IWAS Approval group Ability to View students and reports

December 2008 7 ACCESS All K - 12th grade students identified as LEP will take an ACCESS test All K - 12th grade students identified as LEP and enrolled on November 12, 2008 will receive an ACCESS label If a student exits the district before the ACCESS test is given, the label should be destroyed

    8. December 2008 8 Assessment ISAT, IAA and PSAE If a 3 - 8 or 11th grade student is enrolled in a District, the student is automatically added to the Pre-ID list for the District If a 3 - 8 or 11th grade student is exited from a District, the student is automatically removed from the Pre-ID list for the District If a student exits the district before the test is given, the label should be destroyed.

    9. December 2008 9 Assessment ISAT, IAA and PSAE Who can update Pre-ID information? Only Home Schools are permitted to update Assessment Pre-ID information in ISBE SIS What am I responsible for? Verify Assessment Pre-ID information Add any missing Assessment Pre-ID information How can I update my Pre-ID information in SIS? On-line via the Assessment link in SIS Batch Process in SIS Districts may request a CSV file containing all testing grade students

View the Pre-ID Summary and Detail reports in ISBE SIS Login to ISBE SIS via IWAS Click the Reports link on the ISBE SIS Home Page Select Assessment Pre-ID from the main report page (Summary or Detail) Select the “All Except ACCESS” and click Next Select Report Criteria Click View Report to display report

    18. December 2008 18 Assessment ISAT, IAA and PSAE How do I make additions/updates to Pre-ID information on-line through IWAS/SIS? Login to ISBE SIS via IWAS Click the Assessment link on the ISBE SIS Home Page Enter the student’s SID and one of the following – Last Name, First Name, or Date of Birth Enter or update the student’s assessment information Review the student’s assessment information for accuracy Click Submit to complete the update. Note: Keep your student demographic information up to date and accurate

Login to ISBE SIS via IWAS Click the Request File link on the ISBE SIS Home Page Select the grade level to be included in the file (3-8, 11th, or all grades) The Pre-ID file will be available for download via the ISBE SIS Download File link A user may only place one request for each file type within a one hour time frame

    24. December 2008 24 Assessment ISAT, IAA and PSAE My SIS package can generate a Pre-ID file. Am I allowed to submit that file instead of using the ISBE SIS generated file? Yes, ISBE SIS will accept Pre-ID files generated from local SIS packages However, students may only be added/removed to/from the ISBE SIS Pre-ID file by Enrolling or Exiting the student from the District records in ISBE SIS What file formats are supported? XML Text (Comma Delimited) Excel spreadsheet converted into a Comma Separated Value(s) (CSV format) Note: An Assessment Pre-ID Excel template and tip sheet are available on the SIS website – www.isbe.net/sis

Result Code Result Message What are the Result Codes that will be returned in the Assessment Pre-ID file? P1 - Record Not Accepted for Assessment Pre-ID Generation: No Current Enrollment Exists for Student P2 - Updated Assessment Pre-Id information I - SID does not exist or SID and First Name, Last Name, or DOB do not match existing record F - Missing or Invalid Data Note: Records assigned a Result Code of ‘I’ and ‘F’ will not generate a Pre-ID label and require resolution.

    31. December 2008 31 Districts Next Steps Once the State ID has been assigned to a student, please include the ID in all future submissions to SIS. Ensure Pre-ID data is complete and accurate by the January 9th deadline. Keep your student demographic information up to date and accurate.
