2018 Internet Unit Charter Renewal All unit charter renewals are due at your respective district roundtable meetings in November. NOTE: There are significant changes to the 2018 renewal process. Last updated on 10/03/17
What’s New for 2018 Internet Charter Renewal? Fees: • Membership fees for 2018 will be $33 for youth and adults. Boys’ Life Magazine subscriptions are still $12. Youth Protection: • Youth Protection Training (YPT) will be required for ALL registered adults. • YPT and a disclosure authorization for a criminal background check are required with all Adult Leader Applications. • YPT compliance will be validated—the system has been expanded to include Venturing YPT, Exploring YPT, and Cub Scout/ Boy YPT. • You will receive a system error if YPT in a YPT-required position is not current (for 2018); you will not be able to register that adult until their YPT is completed and entered into their record. • Entry capability for YPT completion date is available under “Maintain Member Data.”
What’s New for 2018 Internet Charter Renewal? Continued… New Member Coordinator (New Position Type): • The New Member Coordinator (NM) position is available for all units. The NM position replaces the “Parent Coordinator” (PC) position. The purpose of the NM is not only to help recruit new members to your unit, but also to engage new youth and their families in your unit. • The NM position is considered a member of the committee; you can register more than one NM per unit. • YPT and a disclosure authorization for a criminal background check are required with the Adult Leader Application(s). • Current PC adults will receive communications encouraging them to register in the NM position during the 2018 charter renewal season.
Additional Membership Codes • The position of New Member Coordinator is a committee-level position. • The position of 91U is for adults 21 years of age who do not have a designated position of responsibility. The 91U position is a fee-paid registration and requires a full Adult Application and YPT. • The position of 92U is for youth (ages 18-21) who want to remain registered in a unit, but do not have a designated position. 92Us have the same requirements as a 91U.
18 Year Old Venturers • When a NEW Venturer or a Sea Scout is added who is 18, they must fill out an adult volunteer leader application. They will still be registered as a youth member in your Crew or Ship IF they indicate that they are a Venturing Participant on the application. • For those youth who have turned 18 since your last charter renewal, and are still continuing on in your Crew or Ship, leave them on your roster as a youth member. • YPT is now required for Venturers who need an Adult Application.
Tutorial and Fees • In the slides that follow, you will see screenshots of the internet charter renewal system. The process is similar, BUT, the fees have changed for 2018, and the user interface has been updated. A note regarding fees: • Registrations are $33 per person for 2018. Boys’ Life subscriptions remain $12 per subscription. • If you collected $41 for registration and $16 for Boys’ Life during School Night for Scouting, those fees have been deposited in your Unit Registration Account at the council service center. If you charged $32 for registration and $16 for Boys’ Life during School Night for Scouting, you will need to collect an additional $9 per registrant to cover the fee change. • The unit charter fee (unit liability insurance fee) remains $40 per year.
Submit Roster • Ensure to check your work prior to proceeding to the next step. Changes cannot be made to your unit’s paperwork after hitting “submit roster.” • Next steps: • Submit roster. • User survey. • Confirmation.
Print Off a Hard Copy! • Hitting your “submit roster” does not complete the charter renewal process… To finish your renewal application: • Print off a hard copy of your renewal application. • Secure the signature of the Unit Leader and Chartered Organization Representative. • Turn-in your paperwork at your November District Roundtable.
Annual Charter Partner Agreement • Each year, a Charter Partner Agreement is signed between your unit’s chartered organization, and the local council by your Community Relations Executive. Your District staff will ensure that this form is completed.
Changes to Note for 2018 Items to remember: • Fees: The annual membership fee has increased to $33 per year. • NM position: The New Member Coordinator position is replacing the Parent Coordinator position. • YPT: Youth Protection Training is mandatory for all registered adult leaders.
