Securing reports from Federal Procurement Data System – Next Generation (FPDS-NG)
https://www.fpds.gov/ • Session will provide tools you need to generate much-needed FPDS-NG reports. • FPDS-NG allows some to input data, while others only need to access reports. This presentation focuses on securing activity reports.
What's covered in this training? How To: • Create a user account in FPDS-NG. • Secure data using pre-cast, standardized reports. • Retrieve data using ADHoc, custom element reports. • EZ-Search Tool
Accessing the system First Major Step: • “Log In” Registration • Click on “Register” and follow directions supplied for your position. • FPDS-NG will give you a choice of the type of user. Select the link that states, “If you are a member of the Congress, a member of the public, or a government official who does not require access to submit data. More detailed instructions in “Who Should Register” • A Notice of Disclaimer appears. Users must select “Yes” to Continue. • Fill in the required data elements. • Tips: • Make your User ID & Password something you will remember • User ID is not case sensitive • Password is case sensitive
After Registering Registration Instantaneous: • Once you’ve completed the registration, your personal FPDS-NG account is established in real time, meaning it’s now available for your use. • You can begin to access reports immediately.
How to use the account • Accessing FPDS-NG: • Proceed to “Log In” section at top of left hand column. • Enter “Log In” user ID and “Password” you just created. • Then click on “Login”
Securing Reports After “FPDS-NG Reports Suite” page loads, you may select from the following five options : • Adhoc Reports • Standard Reports • ezSearch • Change Information • Help
Generating Standard Reports What's Available? • Standard Reports provide access to more than 70 Federal Government reports. These reports allow you to enter specific search criteria to narrow and customize the results returned on a report. • In the Standard Reports section, additional assistance information is provided to help you pick the most pertinent report. • Useful if you are looking for reports like: • Top 100 Federal Contractors • Small Business Reports
Standard Report Page • WHO - is winning government contracts? • WHAT - types of products and services the government has been buying? • WHERE – is the government spending its money, both in the US and abroad? • WHEN – were the procurements made? • HOW – did the government make the award? (small business, type of competition, etc.) & HOW – is the government meeting its statutory goals?
Generating Ad Hoc Reports • What’s available? Ad Hoc Reports offer ability to select individual fields from the FPDS-NG database to run a query. Used if you are interested in: Asking a business question of the FPDS-NG database, such as HUBZone Firms in a specific state. Designing and customizing your own report with regards to both information & format. {Learn more about using Ad Hoc Reports feature: Start by downloading the Ad Hoc Training Manual - from the web site click on Training}
Ad Hoc Report Page Click “New” & Select Box 1 Metrics Add search criteria (aka – Metrics) by clicking “*Award – IDV Information” to add Dollar Values and Contract Actions Metrics serve as the “building blocks” for the final report – For Example: first item you’ll be asked is whether you want to see a total for “dollar values” or “contract actions” or both. With each selection you will get options you then have to “Add” to produce your final report. Select Box 2 Attributes Add search criteria (attributes) by clicking on information for your final report such as: Contract Department Name; ID/Codes; Socio Economic Data; Principal Place of Performance, etc. *Note: If by clicking on Award IDV Information – Menu does not open – click on the small box aside of Award to open the menu.
Ad Hoc Report (cont’d) Select Box 3 for Filters Examples: Contracting Department ID = Show Only = Add filter “9700” for DOD Activity. For the Vendor Socio-Economic Data you may choose – IS Vendor WOSB = Show Only – “YES” for the filter. You can manually enter a filter or select from a predefined list. Lastly, you will be asked to enter the date range just before the system executes the search. Date Format: 10/01/2009 – 09/30/2010 for FY10 Remember: Your search can only be completed for 1 year at a time
Ad Hoc Report Page • Proceed through all three fields to add the crucial report elements • You will be prompted for a date range (remember: a one-year maximum) by hitting the “Execute” button
Sharing My Reports • To share your reports with others - you can save the data in various formats. • Among them: • Excel • Comma Separated Value (CSV) • HTML document • PDF document
Building “My Reports” Function • Don’t re-invent the wheel: • As you generate Ad Hoc Reports, save the runs in your “Personal Folder” • This way, you won’t have to go through the entire query process each time you look for the same information. • Most times, you will direct the system to run the saved report, just with a different date field.
“ezSearch” Tool • This “Google-like” search tool will provide an easier way to navigate the millions of records within FPDS-NG. • Text based search that allows users to enter any elements of a contract they are interested in (vendor name, agency name, dollar amount, etc). • Search results can then be sorted several different ways, or narrowed down further by using the Advance Search. Users are also able to drill down on each record to the Award Detail level. • ezSearch is available both to government users and public users.
What should I do next? • Practice, Practice, Practice • This session was designed as a brief introductory course. • There are many added options in FPDS-NG to accomplish more detailed analysis. • Be forewarned, this system is complex. • With practice, you can master those report functions most useful to your circumstance.
