COVENANT PARTNER – PREPARING TO HOST GROUPS cont. • Other Considerations: • Meals – Group or CP Provided • Bedding – Air Mattresses, Linens, Pillows, Towels, etc. • Requirements for Group to Maintain Housing Facility • Fees/Donations – Housing, Custodial, Meals, Insurance, etc. • Tools/Equipment – Group or CP Provided • Volunteer Coordinator • Job Site Supervisor
Volunteer Group Preparation • 1 Year to 6 Months: • Schedule Work Dates & Location • Confirm Housing • Determine what Activities in which your group may want to participate. Sporting events, for example may need to be scheduled well in advance.
Volunteer Group Preparation cont. • 4 Months Prior: • Informational Meeting for perspective volunteers • Provide Flyer w/Costs and other trip information • 3 Months Prior: • Assemble List of Participating Volunteers • Provide Medical Forms, Releases, etc. • Collect Deposits • Travel Arrangements Scheduled • Transportation Reservations • Activity Reservations • Fund Raising • Team Building Exercises
Volunteer Group Preparation cont. • 1 Month Prior: • RECONFIRM ALL Reservations! Including Work Locations. • Conduct Group Leaders Meeting as necessary. • All forms MUST be collected at this time. • Assemble First Aid Kits • Devotion Book and Materials (as required) • Meal Planning • Reserve U-Haul Trailer as needed
Volunteer Group Preparation cont. • 2 Weeks Prior: • Conduct Final Trip Meeting • Collect ALL Missing Forms • Provide Worksite Information and Trip Itinerary • Provide a List of What to Bring (and what NOT to bring) • 1 Week Prior: • Shop for Food and/or Supplies • Assemble Van Packet (Contains directions, medical forms, gas money and emergency contacts) • RECONFIRM – Housing, Work Sites & Van Rentals
