Purpose • To provide procedures for ACT WorkKeys online testing • To help schools securely and efficiently administer the online ACT WorkKeys Assessments • To stress crucial information from the current WorkKeys Internet Version (WKIV) Users Guide • You will receive an email in mid-December/early January with a link to the WorkKeys Internet Version (WKIV) Users Guide

Required Trainings for Online Testing • All staff who administer, proctor or work with ACT WorkKeys testing in any capacity must view: • ACT WorkKeys PowerPoint trainings, located at: http://education.ky.gov/CTE/Pages/ACT-WorkKeys.aspx • Overview • Facility Preparation and Administering the Tests (Part II, for online testing) • After the Tests (Part III, posted at a later date closer to testing window) • WKIV Users Guide, located at: • You will receive an email in mid-December/early January with a link to the WorkKeys Internet Version (WKIV) Users Guide • A signature page shall be signed by each employee after reviewing the WKIV User Guide.

Required Trainings for Online Testing • All staff who administer, proctor or work with ACT WorkKeys testing in any capacity must view: • KDE’s Administration Code and Inclusion of Special Populations Training, located at: http://education.ky.gov/AA/distsupp/Pages/AdminCode.aspx • A signature page shall be signed by each employee after the completion of training and retained on file by the school/district • Some special accommodations do not lead to a National Career Ready Certificate, such as English as a Second Language (ESL).

Required Trainings for Online Testing • Complete the online training provided by ACT WorkKeys. • The designated contact person will be sent an email with a link to this mandatory training. • ACT WorkKeys provides ongoing trainings via webinars and documents. • You will receive an email in mid-December/early January with a link to the ACT WorkKeys Internet Version (WKIV) Users Guide

Required Trainings for Online Testing • Upcoming trainings provided by ACT WorkKeys • Topic: Basic WKIV training, which covers creating accounts and using WKIV • January 2014 • An email will be sent to the contact person with the link • Topic: Advanced WKIV training, which covers the use of groups and batch loading • January 2014 • An email will be sent to the contact person with the link • The basic training is offered twice a month (only once a month in December) and the advanced training is offered once a month.  • An email will be sent to the contact person with the link

  7. Online Testing – Pretesting Procedures • Schools must review the technical requirements checklist to make sure they meet or exceed the minimum requirements needed to test online. The checklist is located at: http://www.act.org/workkeys/tech/index.html

  8. Online Testing – Pretesting Procedures • If testing within KDE testing window, (February 1, 2014 – March 31, 2014) • A KDE realm must be purchased, by contacting KDE directly. KDE will invoice the school. • The setup fee is $105.00 per school. • A realm determines where the student results are reported, accountability, billing, etc. • If testing students in multiple schools, a realm must still be purchased per school. • Realms can be determined where the student is enrolled as a preparatory senior in a Career and Technical Education program.

Online Testing – Pretesting Procedures • If testing within KDE testing window, (February 1, 2014 – March 31, 2014) • If your school already has purchased a realm, you will still need to purchase a KDE realm, if testing within the testing window. • You will use the KDE realm number assigned when testing students. Each school will have their own realm number. This is very important to remember if you are testing students from different schools together when testing. You will need to let each individual student know their assigned realm number. • Realms will be emailed to the contact person in mid December/early January. • For the expense of $105.00 setup fee, your school will be invoiced from KDE for this expense. KDE will only accept a check from your school/district as payment.

  10. Online Testing – Testing Guidelines • ACT WorkKeys is a standardized test. • Testing security and confidentiality is extremely important. • Stress to students they are not allowed to talk about the test at all (especially since other students may not have taken it yet)

Online Testing – Testing Guidelines • Schools may test students other than preparatory seniors in CTE programs. • Your school will be invoiced for these additional assessments. • The assessments, Applied Mathematics, Locating Information, and Reading for Information, are $6.00 each. • Schools are responsible for the costs of retesting students. • The assessments, Applied Mathematics, Locating Information, and Reading for Information, are $6.00 each. • Retesting can occur at any time and does not have to occur within the testing window.

  12. Online Testing – Testing Guidelines • Students from different schools can be tested at the same time and at the same site. • For example, Area Technology Center students can be tested at the local High School. • Schools will use the assigned KDE realm number. This is based on where the preparatory senior student in a CTE program is enrolled. • Students may be tested at different times in smaller groups. For example, you can test 10 students at a time instead of testing the whole class together.

Online Testing – Testing Guidelines • For the three assessments (Applied Mathematics, Locating Information, and Reading for Information) : • Students can take all three assessments back-to-back with a break in-between • Students can take assessments different times/days. • For example, students can take Applied Mathematics on a Monday morning, Locating Information on a Tuesday afternoon, and Reading for Information on a Wednesday morning.

Online Testing – Special Accommodations • Students needing special accommodations, other than extended time, will need to test using paper/pencil testing. • Please call 1-800-WorkKeys directly to request a copy of an order form materials for Special Accommodations. Special Accommodations, except for Extended Time, cannot be administered for online testing. • Some special accommodations do not lead to a National Career Ready Certificate, such as English as a Second Language (ESL).

Online Testing – Special Accommodations • For students who are testing with extended time, • You will need to complete the form on page 31 of the WKIV User Guide • You will receive an email in mid-December/early January with a link to the WorkKeys Internet Version (WKIV) Users Guide • This form will need to be sent to ACT WorkKeys, at least 3 weeks before testing.

  16. Test Administrator – Setting Up Accounts • If you indicated you will be testing online on the spreadsheet you submitted to KDE • ACT will email the designated contact person a userid and password, along with a link to the required training, in mid December/early January. • The designated contact person will create accounts for other test administrators, proctors, etc. • The designated contact person, or designee, will also create accounts for students.

Test Administrator – Setting Up Accounts • 2 ways to create student accounts: • Site administrator can create student accounts individually • Site administrator can create student accounts using a batch load account • A training on how to create accounts will be provided by ACT/WorkKeys • An email will be sent to the contact person with the link

Test Administrator – Setting Up Accounts • The 5 match criteria is very important to identify and match student records: • First Name • Last Name • Examinee ID – (only a 9 digit field) • Required to use the last 9 digits of student’s SSID # • Birth Month • Birth Day • First Name must be student’s legal name and not a nickname. • For example, it must be listed as Susan and not Suzie • For hyphenated names, use spaces rather than a hyphen

  19. Test Administrator – Setting Up Accounts Very Important: • Examinee ID is 9 digits long. This field will be the student’s SSID number. The student’s SSID number is 10 digits long. You will delete the first number of the student’s SSID number and use the last 9 digits. • For example, if Susan’s ssid number is 1234567892 • For WorkKeys testing, you will use 234567892 as the Examinee ID. • This is extremely important for data matching and for results to be imported automatically into TEDS.

  20. Staff for Testing Rooms • There must be a: • Site Administrator • Room Supervisor (may also be Site Administrator, if only one testing room) • Proctor(s), (see chart below) • The number of proctor(s) required is a minimum number below. You may want to have additional proctors in the testing room to help students log in and to start on time.

  21. Staff for Testing Rooms • High school students shall not serve as proctors. • You may not administer or proctor, if a student testing in the same room is a relative.

  22. Testing Rooms • The location of testing rooms must be free of interruptions and distractions. • Students must be continuously monitored during testing. Sufficient space in-between students is critical. • All related content on the walls, bulletin boards, etc. must be removed or completely covered up.

Testing Rooms • Each workstation should be assigned a number. • You should record this identification number on the WorkKeys roster form, located in the WKIV User Guide. • You will receive an email in mid-December/early January with a link to the WorkKeys Internet Version (WKIV) Users Guide • Assign students where to sit, preferably not by their friends. • You will need to record this on the WorkKeys roster form, located in the WKIV User Guide. • You will receive an email in mid-December/early January with a link to the WorkKeys Internet Version (WKIV) Users Guide • There should be adequate privacy between students.

  24. Time Limits Allowed Per Test • The standard testing times are: • Applied Mathematics – 55 minutes • Reading for Information – 55 minutes • Locating Information – 55 minutes • Tests for extended time varies • An additional 20 – 30 minutes is needed to: • Register a student; • Log into the system; • Students complete the demographic information; • Students read tutorial; • Students answer practice questions.

  25. Authorizing Each Assessment • The Site Administrator must authorize each assessment 30 minutes or less before students take each test. • Only one assessment can be authorized at a time. You may not authorize a student to take all three assessments at the same time. • This is a test security issue.

Supplies Needed • For the Applied Mathematics test only, each student will need to be provided: • A No. 2 pencil, with an eraser • Scratch paper • Applied Mathematics formula sheet (comes with test) • Permissible calculator • Permissible calculator usage may be found at: • http://www.actstudent.org/faq/calculator.html • No supplies are needed for Locating Information or Reading for Information assessments. • Prohibited Items: • No food, drinks, cellphones, or other electronic devices are allowed in the test room.

  27. Student Roster Form • A student roster form must be completed. It should include: • Name of each student • Type of identification used (staff recognition, current official photo id, etc.) • Testing workstation identification number (example, Workstation 2) • Students must be checked in, one by one, outside the testing room

Irregularity Report • Complete an ACT WorkKeys Irregularity Report if: • A student is dismissed due to disturbances or distractions; • Emergencies, such as fire alarm evacuation, etc.; • Student illness; • Any other irregularities that may occur. • If not sure whether to complete an ACT WorkKeys Irregularity Report, • Contact WorkKeys at 1-800-967-5539

  29. Instant Score Reporting • Scores are available immediately after testing • You can either print score reports as each student is finished testing or wait until all students have finished testing.
