GREEN EXT Primary extension, for incoming and outgoing calls SECOND LINE Incoming calls will roll to this key when your primary line is busy. You can place your first call on HOLD, then answer the second line. Outgoing calls may be placed from either line key. The 3903 can be configured for 2 lines.
THIRD LINE Incoming calls will roll to this key when both your primary and second line are busy. You can place both calls on HOLD, then answer the third line. Outgoing calls may be placed from either line key. The 3904 can be configured for up to 6 line keys as desired.
SHIFT Scrolls to the secondary feature assigned to upper 6 keys (or 2 for 3903) on either side of the display. If there are no specific requirements for these buttons in your environment, they will be programmed as single number autodial keys. Use the Shift key to access them.
HOLD With a caller on the line, press the HOLD button to place them on hold. The line key will flash. To return to the call, lift the handset and press the line key again. GOOD-BYE Press this button to disconnect your call. This is useful with handsfree or speaker calls. HEADSET Activates headset operation if a compatible headset is connected.
OPTIONS Use the OPTIONS key to access customizable features of your telephone. The following features are available. Refer to Nortel Ref Guide for details.Call Log On/OffChange feature key labelsChange ring toneAdjust VolumePress QUIT key when finished, or your phone will not place or receive calls.
TRANSFER • With the caller that you wish to transfer on the line, do the following:Dial the extension you wish to transfer to (if desired you may announce the call privately)Press CONNECT to complete the transfer
CONFERENCE • You can connect up to 6 parties on a conference call:With the first party on the line, press the CONFERENCE keyDial the phone number (8 if outside call), and wait for the party to answer.Press the CONNECT key to join all parties on the call.Repeat to add up to 6 partiesDisplay will show total # of parties on call, and count of internal & external
CALL FORWARD • Press the FORWARD key (without lifting the handset)Dial the number you wish to forward your calls to Press DONE to complete the action orPress FORWARD, then DONE to forward to the previous forward destinationTo Cancel call forward, press CHECKFWD to view forward status, then press cancel. Display shows Forward Canceled
Allows a customized list of your 10 frequently dialed numbers.To program (without lifting handset), press SpcCtrl keyDial the one digit code for this speed call list entryDial the phone number you wish to store (remember 8 for outside calls)Press DONETo place a call using the Speed Call list:Lift the handset.Press the SpcCtrl key and dial the 1 digit code for the number SPEED CALL LIST
LAST # REDIAL Press your extension key twice to redial the last number dialed MESSAGE • When messages have been left in your voice mailbox, the red light at the top of the telephone set flashes. To check your messages:Lift the handset and press the MESSAGE key to dial into the voice mail system
CALL PARK • This allows a call to be placed on hold, then picked up at another extension. With the caller on the line, press the PARK keyThe display will display a number to park the call on – note the numberPress OK to clear the call from your phone
INTERCOM • To place an Intercom Call do the following:Press the INTERCOM keyLift the handsetPress the INTERCOM keyDial the 2 digit code of the intercom group member (intercom group member codes are the last 2 digits of their extension.)
INTERCOM Recipient telephone will ring with a distinctive tone. Lift the handset to answer the intercom call. The 2 digit code and name of the calling intercom group member will appear on the display. This feature is optional and requires setting up the phones that can intercom to each other.
AUTODIAL • The AUTODIAL key lets you program a single phone number on the key. The number is dialed when you press it. All blank keys on your phones are configured with an autodial keyTo program the key:Press the AUTODIAL key without lifting the handset.Dial the number (include 8 for outside calls)Press AUTODIAL again to store the number.
AUTODIAL • To place a call using AUTODIALLift the handset and press the key. CALL PICKUP • This allows a ringing call to be picked up from another telephone. While a call is ringing at another phone in your pickup group:Press the PICKUP key and answer as normal. This feature requires identifying the phones that can pickup each others calls.
DIALING • To make an outside call: • Lift handset • Dial 8 and the number • To make an internal call: • Lift handset • Dial 3 or 4-digit extension
HOLD • To place a call on hold: • Press Hold key • Hang up handset • To reconnect with the call: • Lift handset • Press flashing Line key
HANDSFREE/MUTE • To generate a call without lifting handset: • Press Line key or Handsfree key • To mute the mic during a conversation: • Press Mute key • To switch to hands-free mode: • Press Handsfree key • Hand up handset
TRANSFER • To transfer a call to another extension: • Press Transfer key • At dial tone, dial other extension • Announce the call • Press Connect key
TRANSFER • To retrieve the call if no one answers: • Press Goodbye key • Press Line key • To transfer a call directly to a colleague’s voicemail box: • Press Transfer key • Press _______ • Enter mailbox number • Press Connect key
CONFERENCE • To add up to 6 parties including yourself to a current conversation: • Press Conf key which places the first party on hold • At the dial tone, dial another extension or number • Announce the call • Press Connect key to join all parties • If a party doesn’t answer or doesn’t want to join: • Press Goodbye key • Press Line key
FORWARDING • To forward calls to another extension: • At idle phone, press Forward key • Dial the destination extension • Press Done key • To cancel forwarding: • Press Check Forward key • Press Cancel Forward key
FORWARDING • To reinstate the last call forwarding: • Press Forward key twice • To forward your calls directly to your voicemail box: • Press Forward key • Press ______ • Press Done key
CALL PICKUP • To pick up a call in your group: • Lift handset • Press Pickup key • To pick up a call at a specific extension in your group: • Lift handset • Press DN Pickup key • Enter extension
LAST NUMBER REDIAL • To attempt your last external call again: • Lift handset • Press Line key • To attempt your last external call again without lifting the handset: • Press Line key twice
SPEED CALL • To set up or change speed codes for frequently dialed numbers (if your phone has been designated as the Speed Call Controller): • Press SpcCtrl key • Enter 1, 2, or 3-digit speed code • Enter dialing sequence • Press OK key to store
SPEED CALL • To speed dial a number: • Lift handset • Press SpcUsr (or SpcCtrl) key • Enter 1, 2, or 3-digit speed code
AUTODIAL • To assign a frequently dialed external sequence to a single key: • Press Shift key • Press Autodial key to be programmed • Enter 8 and the external number • Press programmed Autodial key • Label key
AUTODIAL • To label the key: • Press Options key • Press Navigation keys to scroll through options • At “Change Feature Key Label,” press Select key • Highlight “Change Feature Key Label” again • Press Select key • Press key to be changed • Enter name on dial pad • Press Done key • Press Quit key
CALL LOG • To set up incoming call log: • Press Options key • Press Navigation keys to scroll through options • At “Call Log Options,” press Select key • Select “Log All Calls” or “Log Unanswered Calls” • Press Done key to save and exit
CALL LOG • To access a list of the last 10 incoming or 5 outgoing calls and place a call: • Press Call Log key • Press Navigation keys to scroll through options • At “Callers List,” or “Redial List,” press Select key • Scroll and select using Navigation keys • Press Dial key • Press Quit to exit
MESSAGE WAITING • To retrieve new voice mail messages: • Press Message key
OPTIONS • To customize phone (ring type and volume, date and time, call timer, call log, etc): • Press Options key • Press Navigation keys to move through options • When choice is displayed, press Select key • To exit options: • Press Done key to save changes • Press Quit key to exit without saving
RING TYPE • To choose one of four ring types: • Press Options key • Press Navigation keys to move through options • At “Ring Type,” press Select key • Press Navigation keys to move through ring type options • Press Play key to sample ring • Press Select key to make choice • Press Done key to save and exit
VOLUME • To adjust the various volumes: • Press Options key • Press Navigation keys to move through options • At “Volume,” press Select key • Press Navigation keys to move through volume options • Press Select key to make choice • Press Lower/Higher keys to make adjustment • Press Done key to save and exit
CONTRAST • To adjust the display contrast: • Press Options key • Press Navigation keys to move through options • At “Contrast,” press Select key • Press Lower/Higher keys to make adjustment • Press Done key to save and exit • When choice is displayed, press Done key to save
CALL TIMER • To activate or deactivate call timer: • Press Options key • Press Navigation keys to move through options • At “Call Timer,” press Select key • Press On/Off keys • Press Done key to save
