President • Duties • Coordinate All Advisory Group Meetings • Prepare Agendas for Advisory Group Meetings • Leads Advisory Group Meetings • Aids in Communication between Parents, Coaches and YMCA • Oversees Advisory Group • Sends out emails as needed to team, head coach and YMCA Staff Liason regarding pertinent information

  3. Vice President • Works with President in preparing Meeting Agendas • Leads Meetings when President is unavailable • Attends all Advisory Group Meetings • Serves on Meet Committee • Prepare to become President

  4. Secretary • Keeps Minutes of all meetings • Emails Minutes to Head Coach for posting on Website • Attends all monthly Advisory Group Meetings • Serves on Meet Committee

  5. Treasurer • Custody Account Records of all monies earned by team and spent on swimmers • Attends all Advisory Group Meetings • Serves on Meet Committee

  6. Communications • Public Relations • Team Photo • Photos for Website & End of Year Photo Presentation • Advertising(Works with Fundraising Chair)

  7. Volunteer Coordinator • Recruitment & Development • Recruiting for Home Meets to fill all positions • Recruiting for Championship meets to fill positions assigned by League, Great Lakes Zone Committee and Y of the USA at Nationals • Officials • Officials Training • Assistance via Website • Existing Volunteer Platform • TeamUnify or Hy-tek Platform options as well

  8. Fundraising • Concessions • Special Events • Intrasquad Meet – (Swim-a-thon Replacement) • Bagging Groceries • Dining Out Fundraising • Banquet • Searching out opportunities for Sponsorship(works with Communications Chair) • Procure donated items for raffle at Fall & Winter Meets

  9. Spirit Wear • Organize a list of spirit wear available • Initial Order at Beginning of Season • Order for Christmas • Pass Out Spirit Wear when arrives • On Meet Committee • Meet T-shirts • Fall Invite – Theme? • Winter Invite – Lisa J. French Memorial Invitational

  10. Meet Subcommittee Vice Chair • Chair is Head Coach • Vice Chair Serves as Co-meet Director • Needs to be at least a Level II Certified Official • Coordinates Scoring, Deck Entries • Coordinates Heat Sheet Procurement and Distribution • Oversees Officiating and Scoring during all GMVY Meets

Home Meet Committee • Chair – Chris Bushelman (Head Coach) • Vice Chair – Level II Official • Treasurer – Keep Track of Finances for meets (Excel Sheet) • Secretary – Keep Track of How we do Meets, develop meet binder • Volunteer Coordinator – Head Timer, asst. Vice Chair with Finding Officials • Fundraising Chair – Concessions • Run off Family Donations (Food, non-monetary) • Small Amount of Purchased Goods to Supplement • Communications Chair – Donations to Supply Coaches Hospitality • Combination of Community Businesses & Parents Donations (Food, non-Monetary) • Spirit Wear • Awards, Meet Shirts, High Point Awards

Social Committee • Help with Intrasquad Meet (Swim-a-thon Replacement) • Help set up a meal for team after meet (Raymonds Pizza???) • End of year pre-championship Spaghetti Dinner • Work with Volunteer Coordinator • End of Season Banquet • Work with Volunteer Coordinator & Head Coach to set up • Work with Head Coach to set up potential team building activities

  13. New Parent Welcoming Committee • One or Two Parents at Each Site • East Butler – Bobbie Jo Schatzer • Middletown - • Fairfield – • Assist Incoming Families • Answer Questions • Go Over Handbook • Know answers to Website Questions • Direct questions to head coach or President if not unsure

  14. National Team Committee • Chris Bushelman (Head Coach) • Reservations for hotel • Spring 2013 – Baymont Inn Greenesboro, NC (15 rooms) • Work with other committee members to arrange team meals and set itinerary • Matt McKee (Assistant Senior Coach) • National Team Parents
