Characteristics • Scholarship- maintains a 3.2 GPA • Leadership- exemplifies positive attitudes, solves problems, dependable, responsible • Citizenship- Respects freedom, justice, and the American form of government • Service- volunteers, participates in outside service activities, works well with others • Character- Demonstrates the highest standards of honesty and reliability, observes rules
Member in Good Standing • Attends all required meetings • Maintain 3.2 GPA each nine weeks • Academic probation the first nine weeks the GPA goes below the 3.2 • Disqualification after the second nine weeks the GPA goes below 3.2 if it does not increase • Referrals • Evaluated on a case by case basis by Dr. Bryan, Mrs. Kogelschatz, Mrs. Burnett, and the deans • General rule: You will be disqualified for major infractions.
Meetings • Monthly meetings are mandatory; a written note is required for absences. A regular day (such as the last Tuesday of the month) will be chosen by the general membership in the fall. • Officers will attend an additional meeting the week prior to the general membership meeting. • Officers must also dress up on their meeting days. On these days, members may not wear denim, shorts, beach shoes, or sneakers; boys must wear a collared shirt.
Service • Members are required to give 24 hours of service to the school during the school year, at the rate of at least 6 hours each grading period. These hours are documented on a service log; it is the student’s responsibility to get the form filled out and turned in on time. The officers and advisers will together decide how these hours will be divided. A certain number of hours will be devoted to specific projects and the rest will be the member’s choice (general hours). • Students may complete general hours in August helping teachers set up their rooms. Other opportunities will become available throughout the year, and students are always free to contact teachers to see who needs help.
President Duties and responsibilities of the President: • To be the effective, responsible leader other organization, committed to maintaining the aims and purposes of the organization—leadership, service, character, citizenship, and scholarship. • Works with the other officers and faculty advisors to help plan the program of the organization. • Meets with the other officers and faculty advisors prior to the meetings to prepare the agenda. • Conducts all meetings according to parliamentary procedures. • Begins and ends meetings on time.
President • Maintains discussion of relevant items on the agenda. • Calls on committee chairs to give reports on specific functions or activities. • Clarifies discussion on activities and projects and makes sure plans are carried out. • Calls on the other officers for input as the discussion relates to their area of specific responsibilities. • Attends all scheduled meetings. • Delegates responsibilities to appropriate officers and committees. • Encourages participation of all members and visitors.
Vice President Duties and responsibilities of the Vice-President: • Serve as the “right arm” to the president and as the organizer and coordinator of all committee and project work. • Works with the other officers and the faculty advisors to help plan the program of the organization. • Meets with the other officers and faculty advisors. • Takes the president’s place at meetings if the president is absent. Works closely with the president. • Carries out any tasks delegated by the president.
Vice President • Greets and welcomes all visitors. • Keeps a notebook which organizes all committee reports and reports of activities. • Attends as many committee meetings as possible and helps them with planning and carrying out their functions. • Arranges the physical setting of the meeting room.
Historian Duties and responsibilities of the Historian: • Attend all functions and meetings. • Take pictures at the meetings, activities, service projects, induction, etc. • Help maintain the photos on the NJHS website. • If you are unable to attend a function, have someone from on your committee there to take pictures. • Turn in all receipts for film, development if needed. • Meet with the other officers and the faculty advisors prior to the meetings.
Secretary Duties of the Secretary • Keeps and accurate, legible record of the decisions and activities of the organization. • Works cooperatively with the vice-president to make sure the following are at each meeting: meeting minutes, officer notebooks, master calendar, records, correspondence, committee and individual assignments, roster, and attendance records. • Takes attendance quickly by use of sign-in sheets and keeps permanent records. • Has available minutes of all previous meetings for the year, and reads them upon request. • Records the actual wording of each motion, who made the motion, and the voting results.
Secretary • Presents incoming correspondence to the president. • Answers all correspondence following the organization’s instructions. • Meets with the other officers and faculty advisors prior to the meetings. • Writes letters of request, praise, regret or apology; thank you notes, invitations, congratulations, etc. • Keeps a record of minutes, committee reports, bulletins, correspondence, etc.
Treasurer Duties and responsibilities of the Treasurer: • Manages and records the financial affairs of the organization. • Maintains on paper in a notebook an accurate financial record of all expenditures and income…mental notes are not acceptable. • Work with the school secretary in maintaining a knowledge of the financial records of the institution. • Meet with the other officers and faculty advisors prior to scheduled meetings.
Treasurer • Become aware of any financial aspects of any proposed projects. • Present financial status reports at the meetings when called upon. • Give the secretary a copy of the financial reports. • Work closely with the faculty advisors and the president on all money matters. • Make recommendations for approval or disapproval of a financial activity while being discussed. • Work with the advisors on filling out forms for money making projects. These must be approved by the principal ahead of time.
Service Hour Accountant Duties of the Service Hour Accountant • Collect and record service hours and keep accurate records of hours completed by each member. • Keep the faculty advisors apprised quarterly of any members who have not met the required number of hours.
Officer Intent Form Some basic qualifications that must be met are: • You must be a member in good standing. • You must be willing to meet for officer meetings once per month. • You must attend all general membership meetings. • You must attend all NJHS functions and service projects. • You may not be an officer in any other club. • You must have an intent form signed by your parents. • You must sign the intent form.
