Richard Morrall Strategies for Using PPM Scheduler to Simplify Periodic Tasks 2007 PPM User Conference
What is this all about? Making PPM more useful by: • Using scheduler • Strategies for scheduling • Some ideas for streamlining processing / auditing • No magic bullets!
Strategies … 1 • Regular processing • Small scale, regular processing is faster and lower risk than big bang year end • Allows for sequential steps that speed up processing – load, build, report – all in one hit • Audits / Reconciliation using standard views
Strategies … 2 • Unattended operation • Construction of jobs and queues • Only make jobs critical if they really are • Separate critical jobs from other jobs • Group activities by frequency
Strategies … 3 • Look at the length of time each activity / job should take to complete • See how that fits with the schedule set up • Remember the option to look for changed files
What is Required • Review purpose of data • Costing • Reporting • May need to reimplement some extracts (frequency, reliability) • Use when file changed option
Data Purpose Reporting Frequencymay be more important than data depth • Patient and demographic data extracted weekly/daily for reporting • Some activity (feeder) may only be available monthly • Therefore a weekly update is viable, but depth is restricted (eg demographic only)
Tools to make life easier? Auditing and reconciliation • Standard views • Reconciliation templates
What are Standard Views? … 1 Standard views • ppm_view • advanced_reporting • Views may need to be modified for your site (eg COA names) • Starting point only
What are Standard Views? … 2 GL Standard Views 001_GLImport what was imported by acct type (E/R/U) 005_PreCostReclass GL after pre cost reclass rules by acct type Process 1 010_CostDefinitions GL after apply cost defn Process 2 015_ExclByCostInput cost input = ‘none’ 016_ExclByAreaType area type = ‘none’ 017_ExclByNonStndCostDef cost input = ‘none’ 025_PostAllocations GL after post alloc reclass rules Process 4 030_PostCostReclass GL after post cost reclass rules note groups to non-inpatient (product fraction) unless defined Exclusions
Reconciliation Template • Simple Excel template utilising the GL reconciliation standard views • Cut-and-paste output of standard view into the GL Reconciliation Template
Exercise 1 • GL reconciliation • Open access project PPMView.adp • Take output from standard views • Paste into template (in scheduler training folder on desktop)
ETVL Audit • Standard views in PPM_View • No template (BlameFrank) • Use to help see what has happened during ETVL processes • StdView_ETVL_ExtFeeder_Link_Audit (where episodes have linked to) • StdView_ETVL_Audit_ICDDiag (episodes that don’t have a matching diag code) • StdView_ETVL_Transfer_Audit (gets episodes that don’t have a matching transfer record)
Exercise 2 ETVL Audit • Open access project PPMView.adp • Have a look at the highlighted views
Costing Audit • Advanced reporting standard views • NO TEMPLATE (stillFrank’s fault) • Quick look at some costing data • StdView_ServiceStatisticAveragesByAreaservice code averages, cost etc by area mapping • StdView_NegativeCostOutputsby episode • StdView_CostByAreatotal cost by area mapping
Exercise 3 • Open AdvancedReporting.adp • Modify the highlighted views • Right-click on NegativeCostOutputs • Select Design View • Change Version_Id Criteria to =1 • Save • Run
PPM Processing Procedures • Simple document outlining recommended processing • Includes brief description of function, relevant standard views and associated • Use as basis for your site procedures
What Next? • Look at reviewing processing procedures to make use of the scheduler • Templates etc will be on FTP site • Time for a drink?
