What You Need To Do ? • Contact the ITS Service Desk (email its-servicedesk@salford.ac.uk or phone 52444) and tell them that you want to raise a work request for a new project. • The ITS Service Desk will open a case for you and ask you to download and complete the ITS Project Initiation Request Form. They will also inform you that the ITS Programme Management Office (PMO) will be in touch to discuss your requirement and help you complete the form. The PMO will aim to respond within 48 hours of your contact with the ITS Service Desk. • Complete the form and get it authorised. Once complete it needs to be authorised by a Head of Department, Head of School, Dean, Associate Dean, a member of the University's Strategic Leadership Team, Director or Associate Director of Professional Services. • Email the completed and authorised form to the ITS Programme Office (email ITS-Program Office@salford.ac.uk) • That’s It!!

  3. What Happens Next? ITS PMO will: • Check and validate the Idea Form. • Assess the impact of the idea. • Forward the idea, once assessed, to ITS governance for decisioning. • Keep you, the ‘Idea Submitter’, informed of progress throughout.

Who Will Make The Decisions? • All ideas go will be reviewed by ITS Senior Management Team (SMT) and then the IT Governance Group (ITGG). • ITS SMT meets weekly, ITGG will meet monthly • What are the possible SMT decisions? • Approved to proceed into the next project phase (feasibility). • Approved, but require ITGG ratification before proceeding. • Deferred for ITGG decision. • Not Approved. • Request further information (Idea will need re-submitting) • What are the possible ITGG Decisions? • Approved to proceed into the next project phase (feasibility). • Not Approved. • Re-submit with changes.

  5. How Long Will It Take? ITS PMO commitment to you is to: • Contact you within 48 hours to go through your requirements. • Have 80% of all requests impact assessed within 10 working days of receipt of the completed form. • Have 80% of all requests decisioned by ITS SMT within 2 weeks of completion of the impact assessment • Have 80% of all requests decisioned by ITGG within 5 weeks of completion of the SMT decision • We will monitor and measure our performance and publish this to ITS SMT and ITGG

  6. Guiding Principles The Business is responsible for: • Requesting the project. • Creating the ‘Business Case’ & Developing Business Requirements* • Delivering the expected benefits. • Sponsoring the project. * ITS will assist with production where mutually agreed.

Guiding Principles ITS is responsible for: • Assessing the impact of the idea against: • The ITS Estate. • The existing ITS programme of work and availability of resources. • Managing the delivery of the ITS elements of the project • once approved. • (managing other elements of the project only by mutual agreement).

Why Do I Need To Do This? • To ensure that we make the right decisions in choosing projects that: • align with University Strategies & Objectives. • are deemed important to the University. • are correctly prioritised with other work. • are properly assessed for risk of delivery. • Are properly assessed against the capability and availability of ITS resources. • It will lead to: • Improved IT project delivery. • Less delays to the customer. • Less cancelled projects.
