Writing a Grant Proposal Tips for Crafting a Competitive Proposal • Read the Program Solicitation • Read the Program Solicitation! • Read the Program Solicitation!! • Other tips: • Start writing your proposal several months before it is due • Avoid the use of jargon • Don’t assume reviewers realize the importance of your work • Translate your great ideas into a specific set of activities • Be realistic….what can you accomplish during the grant period? • Let it sit while someone reviews your rough draft
Writing a Grant Proposal Tips for Crafting a Competitive Proposal • Present your project as a logical progression of thought • Problem: What is the need/gap in knowledge to be addressed? • Objective(s): What are the outcomes that will address the problem? • Significance: Why is it important? What is the impact? • Methods: How will each objective be accomplished? • Personnel: Who will carry out the activities? What expertise to they bring to the project? • Equipment/Facilities/Resources: What tools will you use to conduct your project? • Timeline/Schedule: How will your organize the activities? What do you plan to accomplish throughout the grant period?

Preparing a Project Budget Determining the Funds Needed for the Proposed Activities • Some grant programs require a detailed budget • The Sponsored Programs Office will help you develop a budget • Personnel (compensation for faculty, undergraduate researchers) • Travel • Materials and Supplies • Budgets must be reviewed and approved before submission • Compliance with funding organization’s guidelines • Compliance with Union College’s financial management standards • Check that all project needs and estimated costs are included

Navigating the Organizational Approvals Process Obtaining Authorization to Submit a Grant Proposal • Why do faculty need authorization to submit a proposal? • Union College is named on all applications, even fellowships • Department Chair and Academic Deans notified of possible leave • What are the benefits to securing approvals before submission? • Informs the Deans of efforts to advance your research agendas and scholarly interests • Notifies the Sponsored Programs Office of your interest in grant and fellowship opportunities • Liaison between faculty and Program Officers • Targeted grant announcements • Information dissemination through meetings and conferences: CUR Dialogues, regional proposal writing workshops
Navigating the Organizational Approvals Process Obtaining Authorization to Submit a Grant Proposal • Union’s Organizational Pre-Approval Process (OPAS) includes: • Course Coverage Plan (CCP) if course release or leave is required • Signed by: Faculty Applicant and Department Chair • Grant Proposal Approval Form (GPAF) for all proposals • Signed by: Faculty Applicant, Department Chair, Director of Sponsored Programs, Dean of Academic Departments & Programs, Assistant Director of Financial Services, Dean of Academic Planning & Resources, and Dean of the Faculty
Navigating the Organizational Approvals Process Obtaining Authorization to Submit a Grant Proposal • Faculty applicant (PI) notifies Sponsored Programs Office (SPO) of intent to submit a proposal • Provide the name of sponsoring agency and program • Indicate if course release time will be required • SPO will check for special conditions and provide PI with internal authorization forms • No course release = GPAF • Course release = GPAF and CCP • If course release required, PI confers with Department Chair: • PI describes leave (academic term, exact course, etc.) • Chair describes plans for coverage during the release • PI returns completed, signed form to SPO
Navigating the Organizational Approvals Process Obtaining Authorization to Submit a Grant Proposal • PI develops project budget with assistance from SPO • With final budget determined, PI completes the GPAF • PI completes Sections A through D, and Section G • PI returns completed GPAF to SPO • SPO compiles the GPAF, CCP, and budget into a packet • Packet will include any emails or other supporting documentation to assist in the internal review process • SPO sends an email notifying all approvers of the upcoming submission, and initiates circulating the hardcopy GPAF • Once all approvers have reviewed and signed, the hardcopy GPAF is returned to SPO for files.
