Kent State University – YBP Approval Plan Selection Assignments • Looked at campuses with unique Nursing/Allied Health related programs (Physical Therapy, Radiology, Vet Tech, etc.) Those campuses responsible for selecting and housing titles in those specific subjects • Traipsed through LC classification system and assigned areas for selection Assigned selection responsibilities based on past purchasing habits, expertise, anticipated local needs, etc. Housing of titles would be done through randomization(based on the % of financial commitment) • Kent Campus current profile plugged in Selecting and housing titles profiled as Advanced Academic (Regional Campus selections defined as Basic Academic or Professional) • Removed Nursing from each campus’ existing YBP profiles As the cooperative profile develops, individual profiles get folded into the cooperative plan

Kent State University - Cooperation How did this all happen? • Five years ago cooperation wasn’t really part of our vocabulary…not really • Staff changes • Head of Acquisitions began attending Regional Campus Library Director Meetings • Relationships were built • Trust was built • Communication was better • Looked for ways to be efficient • Looked at ways to share resources and stretch dollars • Timing was right: • Shrinking budgets • Reliable statewide and local delivery system • Duplication of materials was evident in local catalog • All Kent campuses wereYBP customers • YBP willing to help

Kent State University - Cooperation How we developed the approval plan • New shared plan was built upon the Kent campus approval plan • Regional campuses were viewed as add-ons or supplements to Kent plan • Kent campus = Advance Academic materials • Regional campuses = General Academic materials • Not much change for Kent campus in terms of what is collected • Approval books same • Slips fewer; Gen-Ac. notification gone • Ground rules: • No reserve materials • No duplicate copies • Kent campus orders are ALWAYS added to Kent campus • Regional orders: random location • Regional selectors assign location • All materials received, cataloged, and processed at Kent campus

Kent State University - Cooperation Disappointments/Victories • Took longer than anticipated to get the project off the ground • Difficult to coordinate • Momentum varied during different parts of the project • YBP was very responsive and willing to work with us • Relationships were built • Understanding and communication increased

Kent State University YBP: A Partner’s Role • YBP supports innovative cooperative collection initiatives with library partners • Purchasing history is available in GOBI to predict outcomes of the new, shared plan • Prospective consortial partners are able to use existing approval or slip plans to model the new, shared plan • Profiling sessions

Kent State University – YBP Perspective Shared Approval Plan Rationale for One Plan • The shared plan is meant to replace Nursing titles previously available as part approval book or slip plans at the individual KSU Campuses. The shared plan is for one subject area (but could be expanded.) • One plan on one base account allows all KSU librarians to see status of a title at any or all of the KSU campuses.

Kent State University – YBP Perspective Shared Approval Plan Basis of Title Selection • The most fundamental agreement that the KSU campuses had to reach was already in place: split the plan according to Content Level of the titles. • Treatment of non-subject parameters in the new shared plan reflects other differences in collecting philosophies among the individual libraries.

Kent State University – YBP Perspective Shared Approval Plan Ordering Accounts • Four ordering subaccounts for notifications were opened, reflecting different requirements of the orders. • Shared plan allows automatic shipments of books to Kent Main only • Subaccounts also enable tracking of expenditures by location, if desired. Fund Codes • Fund Codes added to the plan to aid in identification of titles of special interest to a particular library • Notifications reaching the library bear these funds • Funds for ordering are fewer, streamlining the order process.

Kent State University – YBP Perspective Shared Approval Plan Notifications • Notifications easily set up by fund in GOBI • Because Notifications can also be set up by LC and by Topic, selectors not bound by a particular fund in reviewing titles • All titles are available for all selectors to see • Status of the title updates in real time

25. Kent State University – YBP Perspective Duplication Control Shared plan must not compete with existing plans. Therefore, YBP modified all existing approval plans to exclude Nursing aspect as identified by YBP Profiling. All existing plans checked by YBP for send-all presses to prevent possible duplication with shared plan. Shared Approval Plan

Kent State University – YBP Perspective Shared Approval Plan Plan Can Be Expanded to Other Subjects • Shared plan is concerned now with Nursing titles only • Structures Kent State and YBP have put in place allows for inclusion of other subjects or aspects. • A final goal is a single plan for all the KSU Campuses.

27. Looking Ahead Monitor first year of project Start looking at other disciplines The Next Discipline (English?) Cooperative Ownership The concept of housing a particular title goes away … as books as requested they remain at the last library that used it (depends on enhancements to KentLINK (KSU’s ILS). Over time it is expected that books would end up where they are most needed.
