  1. Sonning Hockey Club Annual General Meeting Monday 13th May 2019 This is a factual presentation reporting on last season. We have a lot to get through so please try and be succinct with your comments, if indeed any need to be made. During AOB we will welcome quick comments from the floor.   5. Chairman’s Report 2018/19 – Matthew Sellwood • Ladies 1s and 4s promoted. Well done! • Men – 4 teams safe, 2 teams relegated • Ladies – 1 team safe, 3 teams relegated • Strong coaching team this year, but Committee is planning for next season and coaching changes • 116 Juniors managed by 14 coaches. Over 150 competitive Juniors matches. 7 players representing Sonning at County level. U10s minis cruised through County qualifying and represented Sonning in the South Tournament • More Marketing and PR, especially local newspapers • Mens O40s team brought together ex-members and friends of the club • Large and varied Summer Hockey calendar • We do not run Back to Hockey any more, but ladies and mens Roll-Up Hockey has been a success • Another brilliantFestival • Successful Fun Day in September • Fantastic End of Season Awards Night – new venue, well done all! • Lots of people getting involved in umpiring across the club, but always more needed!

Treasurers Report 2018/19 – Gemma Waddington • Accounts SummaryIncome Expenditure Profit/(Loss) . • Total Income & Expenditure £ 126,261 £ 111,491 £ 14,770 • Adult Hockey £ 70,795 £ 76,665 £ (5,870)Overspend • Junior Hockey £ 11,721 £ 8,149 £ 3,572Excess • Other £ 43,745 £ 26,677 £ 17,068Excess • Adults – Overall membership income increased and with the reduction of some costs (e.g. travel) this has reduced overspend by £4k versus last year. • Colts – Income and costs remain stable versus last year. Excess income over costs support the overall club – this is a common model across UK hockey clubs, but shouldn’t be relied upon. • Other – This is the profit from our own annual hockey festival that we run (£7k in Summer 2018), as well as a one-off private donation. • Adult hockey is once again not sustainable on its own, but we have made an improvement of £4k versus last year within the section, as well as continuing to be supported by the Junior section and our annual festival, enabling us to carry on as a club. As mentioned at the 2018 AGM, it may be necessary to consider increasing fees to assist with securing our future.

  9. Club Investments 2018/19 • The committee have been using excess funds (not from the development fund) to invest in improving the club. Making it bigger, and offering a morevaried and comprehensive hockey programme for a more diverse membership… across the whole club (i.e. juniors & new players, as well as the more advanced players). This includes: • Professional Coaching – Two professional coaches for both the Men’s and Ladies’ sections • Specialist Goal Keeping sessions continued • New club equipment – Colts GK kit and more training balls • Maintainedadditional pitch space for Ladies training • Electrics installed pitch-side for festival & other uses (achieved through festival cash-flow and still increased profits) • Donation to BCSC for a communal Defibrillator • Once again, we have been very resourceful, and have maintained good cash-flow. However, whilst we have used donated services and deliverables from club members, we cannot rely on these and mustinvest in our future.

Club Investments 2019/20 and beyond… • Re-surface the hockey pitch – this is now our main focus, to work alongside and support BCSC in our future at the club • Training courses – continue to offer umpiring and coaching courses and support the future sustainability of our club • Colts section – continue to develop, support, grow and integrate our junior members • Further pitch space? • New equipment – as required • Maintain specialist Goal Keeping sessions • Coaching team – help support and improve players right across the club • These investments need to be co-ordinated so that we can deliver a fuller and more professional offering as Sonning Hockey Club. It is very notable that other clubs around us are failing and it is our strong planning and investment which is keeping us in a healthy position.

  11. Club Development Fund • As at 30 April 2018 the Development Fund sits at £42,579 • The development fund is an accumulating fund that Sonning HC members, past and present, have and continue to accumulate for future club interests. Use of the funds needs to be agreed by the membership, with a vote at a formal meeting. • In the recent past, Sonning HC have invested in the current astro pitch, based here at Sonning Lane, to ensure we have a home pitch for the next 25 years; as well as invested in Coaching. • Given the profit made during the 18/19 season, it is proposed that we move £3,000 from the current account into the Development Fund this year to go towards the resurfacing of the pitch. • The level of cash in the current account as at 30 April 2018 is required for bill payments, particularly for the festival and summer hockey in the immediate term. The cash-flow fluctuates throughout the year therefore the buffer remains for months where we have larger outgoings than income received. • The current committee consider it prudent for the club to maintain a healthy buffer for unforeseen circumstances (e.g. a poor festival), but there is also a need to start considering how we may use some of these funds for assisting BCSC with resurfacing the pitch.

  12. Proposals • To increase the Sonning HC membership fee from £100 to £119 per season • £51 BCSC not increasing this season • So total fee to play hockey = £170

  13. Membership Report 2018/19 • Slight increase in membership numbers since last year driven by under-18s and Students. • Membership fees generated income of: • £25,700 for the Hockey Club • £9,250 for BCSC • Generally, most members paid on time and far fewer had to be chased after the deadline compared to previous years meaning better cash-flow management for Hockey Club. • Membership Payment deadline for 2018/19 to remain the same - 30th September

Website 2018/19 – Kristin Cooper • Ranked 60 in all hockey sites down 9 from last year – new articles and match reports makes us move up the ranks 642 SHC members in the database up 65 from last year Around 3,500 page views per month (up 500) | 12,000 unique visits over the year (down 2,000) Match reports – some activity from certain teams – keep posting those match reports Club communication emails are regularly sent via the website Vast majority of membership and socials paid for via the site – close to magic £40k mark Changed the front page design Updated legal and compliance documents Major feature: integration with FixturesLive

Umpire Report • 201 umpire slots filled by Sonning members • 60 (+/-) appointed umpire slots filled (required to ensure we continue to get appointed umpires) • 260 umpiring slots fulfilled to enable us all to play hockey • 61 different members officiated – slightly up from last season • 31 from men’s section • 28 from ladies’ section (another big increase) • 17 officiated 4 or more matches • 5 of those did more than 10 • More umpires would of course at all levels – there’s always a match to do

  16. Season Highlights: Positive introduction of a number and development of colts to the ladies section. Record number of league games played (not a single forfeiture!) GK specific training sessions continued & we had great feedback A record number volunteering to umpire… we almost hit the 50:50 mark!! Two pitches for training this season has worked well and we’ve had more full time paid coaches onboard this year than last. Coaching team integrated well and great communication between coaches and captains. League Results: 1s: League winners and promoted into South Div 3a 2s: Relegated into Trysports Prem 2 3s: Relegated ntoTrysportsDiv 2 4s: Promoted into TrysportsDiv 3 Vets: 10th out of 10 (relegation TBC) 5s: Finished 8th Ladies Section – Claire Shannon & Chrissi Allan

Summer Hockey: A busy summer of hockey for all abilities is planned including two teams in our own Summer Hockey League as well as roll-up sessions.  Summer fitness sessions will be planned for Wednesday nights - start date TBC Check the website for full details on all of these, or contact Claire Shannon/Chrissi Allan (ladiescc@sonninghockeyclub.co.uk) Special thanks to all who have coached, umpired, and supportedthe Ladies teams!

Men’s Section – Alasdair Allan & Colm Hanlon Season Highlights: • Positive introduction of a number of colts to the men’s section • Continuation of GK sessions on Wednesday evenings (monthly) • An overall improvement in on field conduct – highlighted by positive comments from the BHUA. • A huge thank you to Simon Briscoe, for leading the training and match day preparations of our Men’s 1st XI League Results: Mens 1s: 13th Mens 4s:10th Mens 2s: 10thMens 5s:11th Mens 3s: 10thMens 6s:11th

Colts & Adults Badger’s League Marlow Men’s Summer League – Pound lane, From May. Sonning Hockey Colts Section……our aims for this season were :- • to inspire the next generation of hockey players • to encourage young children to achieve, outside school • to givebackto, and perpetuate the sport, which has given US ALL so much enjoyment • to help young individuals understand team work, effort & reward and most importantly, friendship • to provide a stream of young players for the future of Sonning Hockey Club We think that we have achieved our targets …but need your help to sustain them and develop further in 2019-20 ….………

What we want to achieve, regularly……… • More juniors playing in adult sides – boys and girls – and for them to be progressing through the teams – proper development teams – Men’s and Ladies. • Junior players being supported and enjoying adult hockey at what ever level, by all. • More matches…..especially for the U16 players – boys and girls with proper umpires…..on Sundays • Senior players helping, supporting and mentoring • More county and regional players • Fielding more players….regularly…..we can push now but we need a channel to give them an opportunity

  26. What we need to continue this great work……… • We need capable and committed members to help our Sonning HC youth. In particular our U16boys and girls • We need help and support at the Sundaymatches…..we can get games but we need people with hockey experience to HELP! • We need umpires to help umpire these games and encourage some more youngsters to blow the whistle • We need the adult teams to encourage and truly support newcomers into the senior sides…. in league games on a Saturday • We need mentors to look our for, encourage and support our youth • We need…. YOU.… PLEASE…. don’t leave it to someone else.

Sonning Hockey Festival 2019 Festival Team: Andy Camfield, Simon Harris, Eddie Butler, Gemma Waddington, Jon Sharp, Chrissi Allan & Tom Sampson Date: Friday 28th June – 30th June 2019 Number of Teams expected: 24 (still confirming final few teams) Fancy Dress Theme: 80’s Rewind This is our biggest club fund raising event and contributes significantly to our running costs. It is important the weekend runs smoothly and visiting teams are welcomed and entertained. To make this happen we need volunteers to help throughout the weekend, from setting-up on Wednesday evening, bar shifts & other tasks over the weekend & clearing up on Sunday afternoon… TheRota has been circulated via Pitchero & on Facebook, and will be resent over the next few weeks, so please volunteer a couple hours of your time.
