Extension of logistics and sales processes to the entire HRD network • The migration will be differed by hub following the order below: • 1) Accra • 2) Panama • 3) Dubai • 4) Subang
Timeframe for implementation • The first hub should come into WMS in February 2010, the 2nd in March, the 3rd in April and the 4th in May. • By mid 2010 the entire UNHRD network should be under WMS. • It is recommended to continue the warehouse inventory of the hubs by the use of the system adopted since now at least until the end of year 2009 to allow proper financial closure.
Integrated sales model • Extension of complete logistics features and sales processes to the entire HRD network • Improved Warehouse Management features: • Batch management, • Expiration date management, • Multi-level flexible packing capability (handling units) • Enhanced tracking of stock relevant movements (goods issued, loaned, borrowed, etc.) for both WFP and Non WFP stock owners, thus improving reporting and transparency. • Visibility and management of stock across the HRD network, including other users and vendors stock
Phase one - upload ofWarehouse structures • A simplified structures to consider a single bin for storage of material per each hub. No migration is required as the data has been already created in the system during Brindisi’s implementation (unique storage locations namely “0002” per ea single hub). This is in line with the methodology adopted to upload Brindisi stock, as all materials have been loaded on a receiving area to be transferred to the appropriate bin on a later stage, once the warehouses will be put in place. On this second phase of the migration the uploading of the warehouse structures will be performed thru the SAP LSMW/excel tables tool. • Tentative schedule for warehouse structures migration: • Ghana end Jun. 2010 • Panama end of Jul. 2010 • Dubai end of Ago. 2010 • Malaysia by end Sept. 2010
Phase two - upload ofMaterial Master Data • Set of excel files will be finalized by UNHRD and will be uploaded thru the SAP LSMW* tool with the support of OMI. • Tentative schedule for material data migration: • Ghana end Jan. 2010 • Panama end of Feb. 2010 • Dubai end of Mar. 2010 • Malaysia by end Apr. 2010 • With reference to migration of materials for Dubai stock a survey of materials on site to be paid by mid Feb. is recommended prior to migration of their materials as straight clean up is required prior to stock upload performing a disposal process for some materials stored under WFP ownership. • * Legacy System Migration Workbench is a tool recommended by SAP to be used to transfer data once only or periodically from legacy systems
Phase three - upload ofStock balances • A separated excel file will be finalized per ea hub by UNHRD to grab the stock figures at the date of planned migration for the subsequent upload to be performed by OMI. • Tentative schedule for stocks migration: • Ghana end of Feb. 2010 • Panama end of Mar. 2010 • Dubai end Apr. 2010 • Malaysia by end May. 2010 • An alternative tentative schedule could be performed concurrently for both Ghana and Panama in Feb. 2010. Immediately after rollout of stocks, an on site support from WMS experts (GC and MM) is recommended to assist UNHRD hubs during the initial use of the system for 10 days per ea hub.
Centralized training • Training plan for the staff in charge of the WMS foresees an initial centralized venue to be organized on Jan. 2010 for max 10 working days in Brindisi. • 1 or max 2 staff members from each hub will be trained during those days and training material will be provided to ensure that this staff will perform further practice on appropriate environment once centralized training will be completed. • Centralized training will foresees a part dedicated to Customer Service transactions and general WINGSII activities
On Site assistance and further training • Immediately after rollout of stocks, an on site support from WMS experts will be provided to assist UNHRD hubs during the initial use of the system for 10 days per ea hub • The on site assistance will be scheduled as follows: • Ghana beginning of Mar. 2010 • Panama beginning of Apr. 2010 • Dubai beginning of May. 2010 • Malaysia beginning of Jun. 2010
Project developments and Support after go-live • Project developments will be followed and reported by Nadia Parisi and Giuseppe Colavita. • Day by day support to other hub will be provided by N. Parisi; G. Colavita and E. Cafiero as Local Process Experts of UNHRD Special Logistics. • If required (in case of change request or system troubleshot), official support will be requested by UNHRD LPEs and will be escalated to OMI thru GMS ticketing system.
