  1. Proposal for Organizing and Implementing the Accreditation Self-Study and Spring 2009 Team Visit

  2. FACULTY LEADERSHIP Traditionally a full-time, regular member of the faculty has served as the Chair of the Self-Study. As in the past, it is proposed that a committee consisting of the President of the College, the VPAA, the President of the Academic Senate, and the Self-Study Chair from the last cycle interview interested candidates and then select an individual to serve.

  3. ORGANIZATION OF THE SELF-STUDY PROCESS Accreditation Steering Committee Receives updates and offers advice, functions as the sounding board on behalf of the entire College. Members: Board of Trustees (1-2), Administration (4), Academic Senate President/designee, AFA representative, Classified Senate President/designee, SEIU representative, Associated Students President/designee, Chair of the Self-Study, VPAA/ALO. Chair of the Accreditation Self-Study The person responsible for providing leadership and guidance in the development of the self-study. Editorial Assistant Responsible for proofreading drafts, preparing the final draft for printing, and providing assistance as needed to the Editorial Board.

  4. ORGANIZATION OF THE SELF-STUDY PROCESS Standard Committees Responsible for preparing draft language addressing the Standards. Faculty, managers, classified staff and students are encouraged to volunteer to serve on Standard committees. In addition, the President designates an administrator with experience related to the Standard to serve on each committee as an administrative liaison for information and documentation. • Standard I: Institutional Mission and Effectiveness • Standard II A: Student Learning Programs and Services/Instructional Programs • Standard II B: Student Learning Programs and Services/Student Support Services • Standard II C: Student Learning Programs and Services/Library & Learning Support Services • Standard III A: Resources/Human Resources • Standard III B: Resources/Physical Resources • Standard III C: Resources/Technology Resources • Standard III D: Resources/Financial Resources • Standard IV: Leadership & Governance

  5. SELF STUDY TIMELINE Fall 2006—Building Awareness • Begin briefing the Institutional Planning Council (IPC) on progress of the Accreditation Self-Study. An update will be a standing item on the IPC agenda throughout the self-study process. • Recruit and select the Chair of the Self-Study (VPAA/LO, Former Accreditation Chair, Academic Senate President, President of the College) • Begin informational campaign regarding accreditation--purpose, standards, significance, and opportunity to participate. • December 11: VPAA/ALO introduces the Self Study Chair and presents information regarding accreditation to the Board of Trustees. Updates will be provided at each Board meeting throughout the self-study process.

SELF STUDY TIMELINE Spring 2007—Organizing the Work • Facilitate the appointments of the representatives to the Accreditation Steering Committee (President). • Continue informational campaign; meet with people who have served on accreditation teams to elicit suggestions, etc. (VPAA/ALO, Chair of the Self-Study) • Hold the first meeting of the Accreditation Steering Committee (ASC). The Chair of the Self-Study chairs the ASC meetings. Agenda includes an overview of the process, responsibilities of the ASC. The ASC meets as needed this spring and at least monthly thereafter throughout the self-study process.

  7. SELF STUDY TIMELINE Spring 2007—Organizing the Work • Invite volunteers to serve on the Standard committees; provide informational/promotional workshops on both campuses. Assign people to the committees, and send all members informational packets. (VPAA/LO, Chair of the Self-Study) • Hold a workshop and luncheon for all participants in the Self-Study. If possible, this should include presentations from the commission staff. • Standard committees meet, organize themselves, make preparations for fall, and identify research needs. • Self-Study Chair and VPAA/ALO work with Assessment, Institutional Research and others to identify probable research needs.

  8. SELF STUDY TIMELINE Summer 2007 • Research data assembled and/or developed based on direction from ASC. Fall 2007—Writing Draft One • Editorial Assistant hired. • Work proceeds. Standard committees meet on their own, with Administrative Liaisons checking in with the Self-Study Chair. ASC meets monthly to check on progress. Self-Study Chair and VPAA/ALO facilitate coordination between Standard committees and college-wide research and documentation efforts. Regular communications with the college community continue. • December 3: All Standard committees complete their first drafts. • Self-Study Chair does initial review of drafts, makes sure that everything is turned in prior to the end of the semester.

SELF STUDY TIMELINE Spring 2008—Writing Draft Two • ASC holds all-day retreat, reviews first drafts and offers advice to the Chair of the Self-Study. • College staff work with Standard Committees, to develop documentation and drafts for Descriptive Background and Demographics, Eligibility Requirements for Accreditation, Responses to Recommendations from the Last Evaluation, Abstracts, and Planning Summary. • Draft One is disseminated electronically to the college community, and informational workshops are presented. Students, staff, faculty, managers, and board members are encouraged to respond with comments and suggestions.

SELF STUDY TIMELINE Spring 2008—Writing Draft Two • Drafts for Standard II A: Student Learning/Instructional Programs, and Standard II B: Student Learning/Student Support Services are reviewed by the other Standard committees to strengthen the internal consistency of the study. • Committees make final revisions to their drafts. • May 8: All Standard committees complete their first drafts. • Self-Study Chair does initial review of drafts, makes sure that everything is turned in prior to the end of the semester.

  11. SELF STUDY TIMELINE Summer 2008 • Editorial Assistant, working with the Self-Study Chair, the VPAA/ALO and others review and revise material and produce 2nd draft, including Descriptive Background and Demographics, Eligibility Requirements for Accreditation, Responses to Recommendations from the Last Evaluation, and Abstracts and Planning Summary. • Plans are developed for the format, printing, and distribution of the Self-Study.

  12. SELF STUDY TIMELINE Fall 2008—Final review and preparation of the Self- Study • Self-Study Chair writes the section on Organization of the Self-Study & Timeline. • College-wide review of Draft Two • August 12: Board of Trustees approves the Certification of Continued Compliance With Eligibility Requirements

SELF STUDY TIMELINE Fall 2008—Final review and preparation of the Self- Study • Final review of the entire document by the Editorial Assistant, the Standard committees, and the Accreditation Steering Committee • October 15: Draft Self-Study sent to printer. • December 9: Board of Trustees approves the Self-Study

SELF STUDY TIMELINE Spring 2009—The Self-Study Visit • VPAA/LO sends letter to the Accrediting Commission with updates on significant developments that occurred since the publication of the Self-Study. • Self-Study is distributed to campus community and sent to accreditation visiting team members. • A planning group is formed to organize the logistics of the Team Visit. • Team Visit.
