Car Wash Get a group of volunteers together and arm them with a bucket of soapy water and sponge! Ask friends and family to a make a donation in return for a sparkling, clean car. Coin Mile Create a mile of coins by asking everyone to donate the change from their pocket, back of the sofa or piggy bank! Kid themed dress down day Dress up a child of the 70s, 80s and 90s and make a donation for the privilege or wear casual clothes for the day. Donate your lunch money Take a packed lunch or sandwiches to work/school and donate your lunch money to Wyvern Fm Kids. Teddy Bears Picnic Bring your favourite bear to work or school and pay a donation in return for some quality with your furry friend! When organising an event there are a lot of things you will need to consider. When deciding on your event, dont attempt anything that is too challenging or presents any risk, often the most successful events are the most simple. Be realistic when setting yourself a financial target, that way anything more will be a real bonus! Planning is the key to your success, so the sooner you start the better. Things to consider: Choose a suitable date and time for your event. Ensure that it doesnt clash with another important local event or sports final! Start by preparing a tick list of things you need to do, include a date by which you need to achieve each task. Tell everyone about what youre doing and why youre doing it. Encourage them to get involved. If possible, recruit some friends to help you and allocate them specific jobs. Prepare a budget for your event and keep proper financial records. Can you get local businesses to help by donating goods, services or facilities? Make sure you have adequate insurance cover for your activity. Will your event be affected by the weather? If so, do you have contingency plan? Do you need to inform the local police or council about your event? Venue Do you need a venue to hold your event? Booking book well in advance and get a confirmation of your booking in writing. Capacity is your chosen venue a sufficient size? Will you be able to fill it? Access Do they have disabled access, if so, do they have disabled toilet facilities? Facilities Do they have enough toilets, tables and chairs to accommodate you? Parking Will you need use of a car pack? Catering - does the venue provide catering or will you need to organise this yourself? Do you need a license for entertainment or selling food or alcohol? If you are providing food make sure it complies with food safety laws. Cost Do you need a deposit? Can you negotiate a charity discount? What are the costs involved can you hire or borrow? Do you have someone to operate the equipment? Publicity Spread the word - tell people about your event and why youre doing it. Send a press release to your local newspapers addressed to the Editor. Newspapers are inundated with press releases on a daily basis, so try to make yours stand out by giving it a snappy headline! Dont forget to include a description of your event, date & time, location and why youre supporting Wyvern Fm Kids. Use posters and flyers to promote your event ask your local shop, library or supermarket to display a poster to advertising your event. Contact your local St. John Ambulance for further information www.sja.org.uk Do you need marshals? If so, you will need to brief your volunteers about what is required of them during the event. If handling cash, allocate two people to act as cash handlers. Make sure you have a secure place to count and hold the money. All cash should be counted in the presence of two people. Applications need to be made at least one month in advance. However, you may need to apply up to a year in advance for some major towns and cities. Regulations vary from authority to authority so make sure you read them carefully. Here are some examples: - All collection tins or buckets should be sealed and individually numbered. All collecting material should clearly display the charity name and registered charity number. All collectors must be aged 16 or over. All collectors should carry a copy of the permit and a letter of authorisation from the charity. Within a month of the collection you must return a form of statement, which should list the names of the people who undertook the collection, how much was raised and any expenses that were incurred. This should be signed by a qualified accountant. Collections on Private Property For collections on private property, permission must be obtained from the owner, landlord or licensee as appropriate. This includes supermarkets; apply directly in writing to the Store Manager. House-to-House Collections If you are collecting money house to house, once again you need a permit from the local town or district council. There are three main types of raffles (lotteries), which are listed below. Lotteries and raffles governed by a set of rules determined by the Lotteries and Amusement Act 1976. A lottery is a game of chance in which tickets are sold, enabling the holder to qualify for a prize or money. Small Lotteries Can only be run without a permit if it is during a larger one-off event where the raffle is not the main focus of the event i.e. disco, football match etc No cash prizes are allowed. No more than 250 can be spent on prizes (donated prizes do no count). Tickets can only be sold during the event (you can use cloakroom tickets). The result of the raffle must be drawn at the event. Private Lotteries If held at your workplace or club theres no need to obtain a licence, however, you will need to ensure that raffle tickets are only sold on the premises. The lottery should not be promoted outside the premises of the organisation or workplace. The sale of tickets should be restricted to people who live or work in the same premises as the raffle. Society Lotteries If you hold a larger raffle that is open to members of the public, the raffle must be registered with the local authority. No person under the age of 16 years old can buy or sell raffle (lottery) tickets. Tickets must not be sold for more than 2. All returns for said lottery must be submitted to the local authority no later than the third month after the date of lottery. Top 10 Sponsorship Tips Always carry a pen and sponsorship form with you. Get your friends and family to sponsor you first, theyre usually the most generous and will set the standard for everyone else. Encourage sponsors to give you the money straight away. That way you wont spend the months following your event chasing sponsorship. Dont forget to carry a bag of change with you! Enlist the support of your friends and family to help you. Provide them all with a sponsor form and ask them to raise sponsorship on your behalf! Ask your employer to match your sponsorship 1 for 1 and double your fundraising potential. Fax or email a sponsorship form, along with a covering letter explaining what youre doing to your suppliers and clients asking them to sponsor you. Dont forget to get the full name, address and postcode of all your donors and try to get them to tick the gift aid box on the sponsor form.
