CSRS: Issues & Questions (Continued) • Timely Reporting Many processes that use CSRS data are run immediately following the submission deadline. Late submissions are not included in these processes and result in various errors, such as not getting test booklets for all students. • Summer Reporting The regular school year collections for June, July and August data are due on September 15th. • Summer School Reporting Summer School CSRS submissions are NOT required, even if summer school is offered.
CSRS: Issues & Questions (Continued) • Expected Year of Graduation • Students are assigned an expected graduation year that is 4 school years greater than the year they begin 9th grade (based on transcript evaluation for transfer students). • Special Education students may be assigned an expected graduation year beyond the standard four-year period, and their expected year of graduation can be changed if determined by their IEP team. • Migrant students and students in transitional bilingual education programs may be assigned an expected graduation year beyond the standard four-year period. • You will receive a ‘critical soft exception’ for each updated expected grad year, since this field should not be updated except in the two situations described above.
CSRS: Issues & Questions (Continued) • Resident District • For CSRS submissions, this is the district that collects apportionment. • Students who are ‘choiced’ into the serving district are reported as residents in the serving district. • Students who live in a non-high school district, attending a high school district, are reported as residents of the serving, high school district. • For students with an interdistrict agreement (not under choice), the district in which the student resides and generates the interdistrict agreement is the resident district.
CSRS: Issues & Questions (Continued) • Primary School • Indicates whether or not this is the school with primary responsibility for the student. • Each student must have only one school of primary responsibility designated at any point in time. • For students who have an inter-district agreement, the sending school is the primary school, unless the agreement states otherwise. • For students attending two schools in the same district, the geographical resident school is the primary school. • For students attending an institution or detention center, the institution/detention center is the primary school.
CSRS: Issues & Questions (Continued) • P1 Enrollment Status Code • The P1 code will no longer be used after the 2006-2007 school year. • Using the P1 code was optional for 2006-2007 school year. • Beginning in the 2007-2008 school year: • if the student’s promotion to the next grade results in a move to another school, use the T1 code to indicate an in-district transfer. • If the student is promoted but does not change schools, continue using the E0 (currently enrolled) code. • If the student graduates, use the G0 code.
CSRS: Issues & Questions (Continued) • Detention Centers • Students need to be exited from resident school and/or district when they are at a detention center. • T1 status code if the resident district hosts the detention center • T0 status code if the resident district does not host the detention center • Students exiting the detention center • Use T1 status code if they have confirmed that the student is returning to a school within their host district • Use T0 status code if they have confirmed that the student is returning to a school within another district • Use U1 if they cannot confirm that the student is returning to another school

CSRS: Graduation Statistics/Reporting (Continued) • CSRS Data Elements Used • Data elements used in the Enrollment Status Report (P210) • School Year, Serving District, Serving School • SSID, District Student ID Code • Last Name, First Name and Middle Name • Birth Date, Grade Level, Expected Grad Year • Enrollment Status, Is Primary School • Date Enrolled in School, Date Exited School (if appropriate) • Results are disaggregated by – • Gender, Race/Ethnicity, Free/Reduced Meal Eligibility • STBP (State Bilingual Program Status) • Special Education and Disability Status
CSRS: Graduation Statistics/Reporting (Continued) • CSRS Record Selection: from ‘request to generate’ to ‘ready to view’ • CSRS monthly submissions for each collection period during the school year are used • An unduplicated summary is created of each student’s enrollment and special services activity, by school • Students reported in the prior year’s Enrollment Status Report (P210) as currently enrolled (E0), in-district transfer (T1) or promoted (P1), and who were not reported during the current year, are inserted into the P210 extract with an enrollment status of No Show (U2), this is called a ‘Forced No Show’. • Students with a negative enrollment status as of the end of the reporting period who return to active enrollment, in the same school, on or before October 1 of the new school year, are inserted as currently enrolled (E0)

CSRS: Special Education Reporting • Districts did a GREAT job in their data submissions! • No changes for December 2007 Special Ed reporting • Special Points of Interest: • CSRS Birthdate is used to generate the age needed for a report • LRE Status is ‘as of’ December 1 or the next business day • Help document located at www.k12.wa.us/specialed/pubdocs/data/LRE_information.doc • On the Child Count Certification, make sure you check the “By checking this box, I certify…” box (this locks the data so we can print, sign and mail this page only)

CSRS: CTE Reporting (Continued) • Completing the P210 Voc Report • CSRS Fields Used • The report will be generated from student enrollment data submitted via CSRS. • The report pulls student data: • Districtcode, Buildingcode • Lastname, Firstname, Gender, SSID, SSN, etc. • The report also pulls Voc related CSRS data elements: • VocEdCIP • IsTechPrep, IsDirectTransciptionAvailable • IsTechPrepCompleter • IsVocationalCompleter • HasIndustryCertification
CSRS: CTE Reporting (Continued) • Completing the P210 Voc Report • Steps for Generating the P210 Voc Report • Log into EDS, https://eds.ospi.k12.wa.us/ • Select “View My Applications” link • Select “Core Student Record System” from Applications List • Select [Your District Name] from drop down list; click Next • From the main CSRS page, click “Reports” tab on top menu bar • Choose “P210 Voc Report” from menu on left • Choose a year from School Year drop down list, then click Next • Click “Continue” to generate your district’s P210 Voc Report • Choose a school in the drop down list, then click Next
CSRS: CTE Reporting (Continued) • Completing the P210 Voc Report • Viewing and Making Corrections to the Report • An alert of CSRS/P210 Voc Exceptions will appear at the bottom of the main data screen with the following message: • “Please check P210 Voc Exceptions report to resolve all hard exceptions you currently have. You have to correct all hard exceptions or delete related records before you can accept the report.” • Click on “P210 Voc Exceptions” to view a list of data exceptions. • To make corrections to the P210 Voc Report, you can use the Edit button at the beginning of each line of data. (If you use the edit feature, make sure to click the save button when you are finished editing each line of data).
CSRS: CTE Reporting (Continued) • Completing the P210 Voc Report • Accepting the Report • If all of your data is correct and you show no P210 Voc Exceptions, you will need to accept the data in order to ‘submit’ your CSRS/P210 Voc report to OSPI. • Scroll to bottom of main page. You will see the following message: • “I agree that the information is accurate and acknowledge that I am submitting the report by clicking the accept button. NOTE: You must check this checkbox to display the Accept button.” • Click the Accept check box, and an “Accept” button will appear. • Click on the “Accept” button. • This will lock the CSRS/P210 Voc data report and will let OSPI know that your data is ready for the next step in the CTE data process.
CSRS: CTE Reporting (Continued) • 2006-2007 P21o Voc Major Points • Districts must generate and accept their 2006-2007 P210Voc report by November 30, 2007. • Report Tech Prep Completer, CTE/Voc Completer and Industry Certification when it occurs • Typically when a student receives a final grade (see CSRS CTE data element descriptions for more information) • P210Voc and CTE data elements have NOT changed (with the exception of Voc Completer Follow-up, which is no longer required). The only difference in the process is that we are pulling the data from CSRS data instead of having districts submit a stand-alone report via EDS.

CSRS: CTE Reporting (Continued) • Why CSRS is Used for P210 Voc Report • Alignment with current OSPI Data Collection Process • Will be part of monthly submission to CSRS via district Student Information System (SIS) • CSRS Upgrade - Statewide Efforts • Streamlines State Reporting • Real-time Data Reporting • Perkins Funding Faster (thru iGrants) • Districts who receive Perkins funding must submit CTE data elements via CSRS. It is not an entitlement program.
CSRS: CTE Reporting (Continued) • How is the P210 Voc Data Used • To meet Perkins (federal) and state reporting requirements • for CTE program development at the state level • as part of legislative requests
CSRS: WASL Testing • CSRS Fields Used for Sending Tests/Processing Scores • District, School, Grade Level, Primary flag, Spec Ed flag, Entry/Exit Dates, Bilingual flag • Primary School Filter • A filter on this data element is used to select only the records from CSRS where the student is flagged as being primarily served • Filter was removed for the 2007 Spring Administration due to an error found in the way these records were being flagged in CSRS in WSIPC submissions • This has since been corrected, and the filter will be back on for future testing extracts from CSRS • Timelines • Work with your District Assessment Coordinator to know when data is being pulled from CSRS for Pre-Identifying booklets, shipping materials, and generating reports.
