Office 2007 Overview Presented by Jeff Balvanz, IT Services October 11, 2014
Goals • Highlight the changes to Office 2007 • Guide your department on choosing when to adopt Office 2007 More extensive training on Office 2007 will be available later this year.
The Ribbon What is it? Allows for more of a visual approach to the commands Click of a button instead of the drop down menu • What programs use it? • Word • Outlook • Excel • PowerPoint • Access
The Ribbon (cont.) Tabs Groups Commands
The Mini-Toolbar • What is it? • New toolbar for quick formatting fixes • When will I see it? • It only appears when you have selected text or an object with your mouse. • Faded vs. Solid • When the toolbar first appears it will be faded, once you put your mouse on top of it, it will be solid
The Office Button • Replaced the “File” Drop Down Menu • Use this to: • Print • Save • Open • Word Options • Display settings • Proofreading options • Customizable functions • Add-ins
The Quick Access Toolbar • Why use it? • Customizable • A command that you use often, but is not in an easy location to remember • A command that is in the Office Button drop down menu, but you want it in a set location
Customizing with Quick Access What if I don’t like the Ribbon? No way to delete or replace, but you can minimize it Minimizing the Ribbon Perfect for those who format after they are done creating The ribbon will reappear once you have clicked on a tab
New File Formats • Greater Security • Cannot store macros (cannot be used to spread viruses or malware) • Office Open eXtensible Markup Language (OOXML) • Important for Cross-Platform Compatibility and Archival Document Storage • Smaller Risk of Corruption • Smaller File Size
What are the new formats? • X Suffix Extension • The standard document and template formats for the Office 07 products have the same extension as the old ones, but with an X (for XML) added to the end
The New Formats (cont.) • M Suffix Extension • For increased security the new standard formats cannot contain macros because Office viruses use macros. However, many applications use macros in documents for programming purposes. • Other New Formats • XLSB – Excel binary workbook format • ACCDB – New standard Access database format
Compatibility Issues • Opening documents from Office 03 and earlier • Automatically saves in original format • Compatibility Checker • Using Save As… • Exchanging files • Office 2008 (Mac) uses OOXML • Conversion Pack for Office 2000, 2003, and 2004 (Mac) • OpenOffice 2.x, do Save As toOffice 2003 formats • For Read-Only documents, Save as PDF
