The Beginning of the Year/Placement • Update Educational & Clinical Supervisors • If you don’t do this they can’t see your portfolio • Set Appointments (Placements in Program) • These are your placements through the year and will auto-populate your ESSR at the end of the year. • Create PDP & Learning Agreements • Date of completion must be before ARCP date.

Appointments This will create a list of placements throughout each training year, which will auto-populate your ESSR.
Personal Development Plans Create a new PDP at the beginning of each new placement….
Personal Development Plans For each placement you should create one PDP, with multiple objectives e.g. Obstetrics, ICU, higher Paeds. If you have a long placement e.g. 1 year, perhaps create 3 or 4 PDPs over the course of the year to coincide with you educational supervisor review meetings.

Learning Agreement A Learning Agreement is a more formal agreement between you and your supervisor… it is created in the same way a PDP, just change the drop down box to a “YES”.
During the Year • Work Place Based Assessments (WBPAs) • Completion of Units of Training (CUT forms): • Based on WBPAs, number of cases and consultant feedback. • MSF • One per year • Adding activities and evidence to your portfolio • Interim Report if you change trusts or are going on leave e.g. maternity leave, OOPE etc.
WPBAs Make sure you select the right training grade
WPBAs WPBAs now require more written feedback… you can fill some of this in for your consultants following discussion, they will review this before signing it off.

CUT Forms CUT forms are created from the assessment tab… just select the relevant training grade and Unit of Training.
CUT Forms The form will auto-populate with linked WPBAs as evidence.
CUT Forms Your educational supervisor can add any additional comments e.g. from consultant feedback in the department etc.
Multi-Source Feedback • Create early: • takes a least 6 weeks to complete process. • I would advise at least 3 months before ARCP, at the very latest • Up to 30 names (try and get at least 20) • Remains open for one calendar month from sending • Once closed your Educational Supervisor needs to release the results.
Personal Activities Add personal activites during the year as evidence of other educational activities e.g. audit, personal reflection, courses, conferences… Very useful for updating your CV… and auto-populates you ESSR.

Activities and Evidence You can add some reflection on activities… this is a useful log of reflection especially if you have upcoming interviews.

Adding Evidence Evidence is more formal data e.g. uploaded CV, Logbook, certificates
Activities and Evidence populates the ESSR Your activities and evidence auto-populate your ESSR under specific headings.
Interim Reports Interim reports should be created if you are changing trusts during the year or if you are having a break from training without an ARCP e.g. maternity leave, mid-year OOPE etc. They are created from the Assessments Tab
Interim Reports The Interim report will auto-populate with any completed units of training during the year up to the time of the report.

How to Create an ESSR Ensure that you enter the correct College Tutor before you create the form, as your College Tutor must have access to sign off your ESSR.

The ESSR: Getting it signed off Your ESSR can be opened at any time of the year; added to and saved. Do not complete and send it to your supervisor until you come to the end of the year and are completely happy that it is complete. I would advise reviewing it with your supervisor before officially sending it to them. Review your ESSR in good time (at least 4 weeks before your ARCP), as your portfolio closes 8 days before your ARCP and your supervisor and college tutor must have reviewed your ESSR before they can approve it.
