RMS Reports • What is this session meant to cover? • Introduction into the use of “Contract Groups” from the RMS program. • Creation of meaningful reports that are tailored for the projects, offices, fund types, customers, etc., of the person desiring the reports. • Use of a tool to help manage and improve project delivery & contract management

  3. RMS Reports Contract Groups are accessed from the RMS button “Summary” listing.You can only create groups from the office your have such privileges granted.

  4. RMS Reports Selecting the “Add” button presents the choice of creating groups by “Manually” selecting contracts, or by using a “Formula” to create the group.When given the choice, it is ALWAYS BETTER to use the “Formula” method.We will begin by reviewing the “Manual” method first.

  5. RMS Reports Begin by adding a Title for your group. It can be based on geographical location, office, customer type, fund type, Project Manager, Inspector, or what ever your need may be.Under the description, you should provide a narrative to explain the intent of the report so others will understand it. (Anybody can use your group for their own purposes.) On the “Contract Selection” tab, select desired contracts to be included in your Group.

  6. RMS Reports From the “View Selected Contracts” tab or the “Contracts” button, you may see all contracts you have selected. Contracts can be chosen for any office to be in your group.

  7. RMS Reports After closing out the prior screen, we will use the newly created “Group” to get our reports.The “Reports” button is available throughout most RMS screens.

  8. RMS Reports From the Report Menu, select “Summary” to gain access to the Summary Report listing. These reports are intended to give you information on multiple projects, without having to ‘drill-down’ to the individual project.Choose the “Status of Construction” report on the menu.

RMS Reports Using the “Status of Construction” report for demonstration, click on the radial button to select our newly created GROUP.You may include or exclude any of the items under “Include”.The “Sort” feature presents seven sort capabilities. We’ve chosen “Office”. After your selections are completed, push the “Preview” button at the top of the window.

  10. RMS Reports This screen presents the Groups from which you may select. Choose the office you want to use the group from (Gulf Region Division), then the available groups will appear in the area below the office name. Our newly created group is highlighted. Press the “OK” button for the report to be generated.

  12. RMS Reports Now, selecting the “Add” button we will review the “Formula” method of creatingReports.

  13. RMS Reports Add a “Title” for the group (MNSTC-I Contracts in CEGRD)Enter a sort description of the purpose and sort of the report.

  14. RMS Reports Push “Add” to begin – Choose “Contract – Customer Type” from the selection list. And push “OK”.

  15. RMS Reports Select the Customer Type (Multi-Nat. Sec. Trng Cmd - Iraq) and push “OK”

  16. RMS Reports The window is then populated with the formula with a description of the selection in the window below.You can add more criteria too!

  17. RMS Reports From “View Selected Contracts” tab, you select the offices (sub-offices) to include in the criteria and the contracts meeting the formula conditions will appear. You can also see a report of the selected contracts by pushing the Contracts button at the top of the window.

  18. RMS Reports From the Report Menu, select “Summary” to gain access to the Summary Report listing.Once again, choose the “Status of Construction” report on the menu.

  19. RMS Reports Continuing with using the “Status of Construction” report for demonstration, click on the radial button to select our newly created GROUP.   23. RMS Reports Custom Reports Custom Reports can be easily created from the Summary module of RMS. These reports are created to address special desires or needs that you or your Customer may have.

  24. RMS Reports Custom Reports Chapter 1 of the RMS User Guide gives a step-by-step process where you can manually add a new Custom Report or Copy an existing Custom Report. These reports utilize data fields directly from the RMS database and can be added to the Summary Level of reporting within RMS.
