How to Use the Website • Logging in as Class Coordinator • Go to www.lionsheartservice.org • Enter Username and Password (explained in next slide) • Click “GO”
How to Use the Website • Each new CC is assigned a temporary Username and Password • Username is your email address • Password is made up of the following associated with your Group as follows: • The first letters are the Chapter city • The next four numbers are the year of graduation for your Group • The next letter is the gender code (G=Girls B=Boys) • The next letter is the Group color (B=Blue, R=Red,Y=Yellow,G=Green) • Example: the Password for the CC of Mission Viejo Chapter Class of 2013 Boys Red would be MV2013br
How to Use the Website • Login by typing your temporary Username and Password
How to Use the Website • Each new CC must at least change their temporary Password. Your Password and Username can have as few or as many characters as you choose • After logging in the following page will appear • It will have your Chapter and Group name listed
How to Use the Website • Enter your name in the open box and click “Search” • After you click “Search,” a row/bar of information will appear with your Name, Username, Password, Status, Class Request, Class Assigned, Type and Dues. Click anywhere on the bar of your information
How to Use the Website • After you click on the bar with your information, the page below will appear • Change Username and Password • Fill in all Contact information • Fill out and/or correct information • Click “Save” • This page can be accessed anytime during the year for updates
How to Use the Website • Other options for your “Search” tab include: • Look up Members by name – first, last or both • You can sort by using any of the drop downs such as “Status.” As you can see, you can choose to view “Any” , “Only Active,” or “Only Archived”
How to Use the Website • When you click “Officer & Awards” Tab the page below will appear • From this page you enter the officers immediately after the election in May • You click on “Add New Year” and then choose new officers from drop down selection • You need to upload a picture ONLY IF your officers did not get their picture taken at the Awards Event OR if your Chapter does not have an Awards Event. You choose “Select” from a file on your computer and then click “Upload” (if you are responsible for taking the officer picture, line them up left to right in: President, Vice President, Secretary, and Historian – they must wear their LH shirts) • Always make sure you “Save” after entering any pictures or information • You do not need to add Torchbearer nor PVSA award winners. This will be done by the event photographer at the June awards event. If your chapter does not have an Awards Event, then you will be responsible for taking and posting the pictures
How to Use the Website • When you click “Rosters” Tab the page below will appear • From this page you can review or print the Roster of your Group • If you want to save or print, click “Click to download file.” The Roster will be saved in PDF format • You should save the PDF file and distribute to your Group at the beginning of the LH year and whenever there are changes, although Members can also view and save their group’s roster • Edits are not done from this screen, all edits are done in the “Search” tab and should be done by the Member – not the CC Please note that the blue bars are here to protect the privacy of the Members
How to Use the Website • When you click “Minutes” tab the page below on the left will appear • To add meeting minutes after they have been approved, click “Add New Document” and this page will appear
How to Use the Website • To Post Minutes: • Enter in name of minutes file in “Title” • Click “Select” and find file saved on your computer (must be doc or docx file) • Click “Upload” • You can use “Sort After” drop down to place minutes file in appropriate time location • Choose “Date Added” as the meeting date • You do no need to change the date in the “Expires on” • Click “Save”
How to use the Website • When you click “Photos” tab the page below on left will appear. These pictures will scroll across the Class Page • To add photos, click “Add New Photo” and this page will appear • Try to include photos that show the volunteer event identification and Members wearing Lion’s Heart tee shirts
How to Use the Website • To Post Photos: • Click “Select” and find file saved on your computer • Click “Upload” • You can use “Sort After” drop down to place photo in appropriate time location. This will place the picture you are posting “after” the photo # you choose • Click “Save” • CCs should post up to 5 photos per year. Lion’s Heart Members should be wearing LH tee shirts
How to Use the Website • When you click “Group Email” tab the page below will appear • This is the way to communicate electronically with your entire Group. All emails to Members will cause them to receive this document • Using the Group Email will create a Lion’s Heart Template automatically. CCs just need to fill in the appropriate information
How to Use the Website • To Send a “Group Email”: • Enter the key message in the “Subject” • Type your message in the “Message” box. All HTML functions are available • You can add “Attachments” by clicking “Select” and choosing a file from your computer (you can add up to 3 attachments but they each must be less then 1 MB). Click “Add” for each additional attachment • Click “Upload” • Click “Preview” to see what your message will look like • Click “Send” • You will get a copy as your CC email address is in the Group Email list
How to Use the Website • When you click “Documents” tab the page below will appear • These are handy documents to make your job as CC easier and to keep consistency in how all CCs handle situations that occur in the course of your tenure as a CC • By clicking on a chosen Document, it will download to your computer. You can then fill in the appropriate information and utilize it accordingly • These Documents may change so it is important to download them just prior to using them to make sure you have the most current information.
How to Use the Website • Public’s view of Lion’s Heart Website • If you go to www.lionsheartservice.org website and do not Login, you have the following options available: • Home page has a running tab of volunteer hours logged by entire Lion’s Heart organization, new Member enrollment click, member Login, Facebook click, Special Messages in red, What is Lions Heart, What does it take, Chapters and hours for each, and Photos of Lions Hear Members in action
